Position Summary:
The Front Office Receptionist is responsible for managing the front desk and providing administrative support to ensure smooth day-to-day operations. This role includes answering phone calls, greeting visitors, handling documents, and assisting with matching purchase orders and vendor invoices . The ideal candidate has at least 2 years of office administrative experience , is computer literate , and is comfortable working with Mac computers.
Key Responsibilities:
Greet and assist visitors, clients, and delivery personnel in a friendly and professional manner
Answer, screen, and route incoming phone calls and emails
Manage incoming and outgoing mail, packages, and deliveries
Maintain a clean, organized, and welcoming front office area
Match purchase orders (POs), invoices, and packing slips; flag and resolve any discrepancies
Assist with data entry, filing, document scanning, and record keeping
Coordinate and maintain office supply inventory
Provide administrative support to purchasing, accounting, and operations departments
Maintain confidentiality and accuracy in handling client and vendor information
Use Mac-based systems and office tools for daily tasks and communications
Qualifications:
Minimum of 2 years of experience in an office administrative or receptionist role
Strong computer literacy , especially with Mac operating systems and applications (e.g., Pages, Numbers, Mail, Safari)
Experience with purchase order matching or related basic accounting/purchasing tasks
Excellent verbal and written communication skills
High attention to detail and strong organizational skills
Professional demeanor, punctuality, and a customer-focused attitude
Ability to multitask and remain calm under pressure
High school diploma or equivalent required; associate’s degree a plus
