Position: Administrative Coordinator
Department: Maintenance, Buildings and Grounds
Hours: 8:00 a.m. – 4:30 p.m., Monday through Friday
Pay Grade: Grade 9
Compensation: $22.41/Hr. Excellent Benefits Package
Definition: Under general supervision of the Director, performs a variety of routine and unique secretarial and administrative support to office; Organizes activities of the office and coordinates communication with other departments, outside agencies and the general public; Works closely with supervisors on matters requiring confidentiality and discretion; Performs related duties as required.
Typical Examples of Duties and Percentage of Time:
40% Maintains and oversees all aspects of the Work Order Program; Coordinates and manages the Gov Deals Auction for county agencies; Prepares and monitors agreements and contracts, working with the vendor and appropriate county agencies throughout the approval process; Assists with fiscal functions and efficient operation of the department, including but not limited to Human Resources, Accounts Receivable, and Accounts Payable tasks; Coordinates various meeting room schedules; Orders and maintains the inventory of office supplies.
30% Supervises Mail Room/Switchboard personnel; Supports the Director in preparing confidential reports and/or correspondence, analyzing information & preparing summaries, responding to inquiries and/or complaints, assisting in the implementation and formation of programs and/or special projects, gathering information and preparing reports to aid in decision making, and all other duties as assigned. Serves as emergency back up to the Mail Room/Switchboard.
20% Answers phones, processes inbound and out bound mail, takes messages and/or refers questions or calls to departmental staff members and agencies; Assists other staff with administrative duties as requested; Operates a variety of office machines and equipment including personal computer and related software, calculator, fax and copier; Maintains office equipment and instructs others in the operation and maintenance of same.
10% Prepares formal correspondence, reports, minutes of meetings, tables, graphs and/or charts from
rough written copy or oral instructions. Maintains records, databases, files and filing system.
Suggested Training and Experience Requirements:
Associate’s degree in business or a related field; Or 2 years’ experience as Administrative Assistant, preferably in a government environment; Or any combination of education and experience that provides the requisite knowledge, skills and abilities of the job. Proficient in Microsoft 365 Programs including Word, Excel, PowerPoint, Teams, SharePoint.
Knowledge, Skills and Abilities:
Knowledge of (1) accounting and bookkeeping, (2) office practice and procedures, (3) payroll functions; (4) departmental rules and regulations, (5) procedures for purchases, expenditures and payments; Skill in (6) operating personal computer and related software, (7) typing, (8) verbal and written communication, (9) use of calculator; Ability to (10) define problems, collect data, establish facts and draw valid conclusions regarding fiscal management activities, (11) deal effectively with the employees, co-workers and the general public; (12) resolve complaints; (13) calculate fractions, decimals and percentages; (14) prepare meaningful, concise and accurate reports, (15) interpret and ensure compliance with applicable regulations, policies and rules;
Additional Requirements:
Must pass (test negative) pre-employment drug test.
Available to work a flexible schedule based on the needs of the department.
Must possess valid Ohio driver’s license, or equivalent, and an acceptable driving record.
May be required to drive personal vehicle for county business.
Require vision (which may be corrected) to read small print.
Performs work which is primarily sedentary.
Is subject to environmental conditions.
