Job Description Summary

The Payables Compliance Analyst is responsible for setting up and maintaining supplier records and is a primary contact for questions regarding both Miami’s policies and IRS guidelines as they apply to supplier payments. The Compliance Analyst is also responsible for maintaining 1099 data and ensuring timely and accurate reporting and distribution of 1099-NECs and 1099-MISCs in accordance with IRS regulations.

Job Description

Essential Duties And Responsibilities:

  • Perform analysis of Accounts Payable transactions for proper classification, conformity with University policies and all applicable law and regulation. Develop and maintain procedures to ensure current processes are accurately documented.

  • Conduct the tax law and regulation research to ensure tax compliance and proper reporting of payments.

  • Research and deliver solutions for a variety of internal and external inquiries concerning tax and compliance requirements for business transactions, method of and efficient processing. Communicate with suppliers, faculty, staff, and students as necessary to resolve issues or answer inquiries related to tax compliance and reporting.

  • Develop and train faculty and staff as needed.

  • Maintain University supplier records and supplier related documentation. Complete periodic review of suppliers records as required by University policies. Encourage suppliers’ participation in the electronic payment processes (ACH and SUA).

  • Maintain supplier submitted W-9 documentation and designate 1099 recipients in accordance with IRS guidelines. Prepare and submit required IRS 1099 filings.

  • Process international wire transactions, analysis of currency conversion and transaction charges. Investigate international payment issues, provide consultation to departments paying foreign suppliers and individuals.

  • Stay current in regulatory and tax requirements, continuing education and best practices. Stay current on software changes and new system functionality and troubleshooting current problems with software.

  • Assist Accounts Payable team with preparation and gathering supporting documentation for the annual accounting close and all internal and external audits.

  • Other duties as assigned.

Minimum Qualifications:

  • Associate’s degree with a minimum of 2 years experience in a business related field OR 4+ years of experience in a business related field.

Preferred Qualifications

  • Bachelor’s Degree in a related field

  • Compliance experience in a public university or similar environment
