Summary
Responsible for providing high level administrative and clerical support to the Vice President-CFO and related activities within the financial and business office areas of the College, including processing and preparation of accounts payable checks and purchase orders. Other duties include assistance with employee benefit administration, handling information requests and performing routine functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Reports to the Vice President and CFO.
Responsibilities
· Provide administrative and secretarial support related to the activities of the office of the VP/CFO including phones, mail, calendar, office supplies, preparing reports, filing and organizing documents.
· Collect, organize, and arrange data for meetings.
· Work with others in the business office in coordinating projects and assignments as needed.
· Uphold a strict level of confidentiality.
· Review all invoices for appropriate documentation and approval prior to payment.
· Process accounts payable checks. Distribute checks and file copies in business office.
· Post accounts payable transactions to the general ledger.
· Research invoice discrepancies, statements and receiving problems
· Prepare and process purchase orders; distribute as appropriate, including mailing to vendors and filing accounting copy.
· Process daily Cashnet (student online payments) transactions and daily cash and bank deposits.
· Review and reconcile monthly health care invoices, including tracking employee benefit coverages.
· Enter bookstore vouchers and reconcile monthly bookstore billing statements.
· Assist as backup in the business office with items such as bank deposits and managing the petty cash fund.
· Assist with entry of month end journal entries.
Qualifications
Associates degree or equivalent education/experience and at least 3 years office experience, preferably in higher education. Previous accounts payable/accounting experience required. Bachelors degree preferred. Proficient technical skills in MS Office, especially Word and Excel. Ability to multi-task and work in an inclusive community; detail oriented; strong communication and organization skills. Ability to interact effectively with College community and the public. Experience in handling and maintaining a high level of integrity and confidentiality. Strong analytical and problem solving skills required.
