Administrative Assistant to the Registrar
Muskingum University invites applications for an Administrative Assistant to the Registrar. This position provides support in data entry, record maintenance, and front-office operations to ensure the accurate and efficient delivery of academic services.
MAJOR RESPONSIBILITIES
- Serve as the primary point of contact for the office by greeting visitors, addressing inquiries, and supporting students, faculty, and staff.
- Answer departmental calls and respond to voicemails promptly and courteously.
- Create and manage academic records such as internships, directed studies, major declarations, FERPA release forms, add/drop requests, academic honors, and probation notifications.
- Assist with all phases of preregistration, registration, and add/drop processes.
- Support the “Who’s Here” attendance or enrollment verification process.
- Assist in preparing transfer credit evaluations.
- Coordinate student leave of absence and withdrawal notifications and report them to the National Student Clearinghouse (NSC).
- Facilitate grade reporting by issuing grade reports as needed.
- Manage the transcript generation and distribution process.
- Generate and upload reports to NSC and respond to NSC degree verification requests.
- Stay up-to-date with institutional academic policies and governmental regulations, ensuring compliance in all processes.
- Maintain office supplies inventory and manage office mail processing.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Minimum two years’ experience in an office setting
- Strong customer service orientation in a busy office environment
- Excellent verbal and written communication skills
- Ability to work independently on multiple, complex tasks and operations
- Experience with or ability to learn Microsoft 365 programs, including Word, Excel, Teams, and Outlook
- Ability to learn new software programs, including Ellucian Colleague and associated reporting programs
- Maintain impeccable standards of confidentiality
- Work occasional irregular hours, including some weekends and evenings to support academic programs and events
PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
- Associate Degree
