Trip Coordinator

Founded in 2004 and owned by Travelopia, the world’s leading collection of experiential travel brands, we have fulfilled the travel dreams of thousands of guests worldwide. Our success relies on a passionate, service-driven multicultural team of 160 individuals from 17 nationalities, working across offices in the USA, Germany, India, Costa Rica, South Africa, and Kenya.
We are looking to hire a Trip Coordinator to join our team. Reporting to the Trip Coordination Manager, you will play a key role in managing and coordinating trips from confirmation through completion. You will act as the main point of contact for guests while they are traveling, ensuring their journey is well organized, responsive, and aligned with what has been promised.

What you’ll do:
- Coordinate and confirm ground services with internal teams and external partners once a booking is received
- Reconfirm all services prior to the start of each trip to ensure accuracy and readiness
- Serve as the primary point of contact for guests during their travels, providing timely and professional support
- Liaise between guests, partners, and internal teams to ensure smooth execution of trips
- Anticipate guest needs and resolve issues efficiently using sound judgment and problem‑solving skills
- Handle unexpected situations calmly and effectively, including time‑sensitive or high‑impact issues
- Communicate trip details clearly to guests before and during travel
- Coordinate special requests, surprises, or personalized arrangements when applicable
- Maintain detailed and accurate records of trip updates, communications, and resolutions
- Provide coverage during non‑standard hours, including weekends or holidays, when required to support active trips
What you’ll bring:
- A strong interest in customer service and delivering positive guest experiences
- Excellent verbal and written communication skills in English
- Ability to remain calm, organized, and solution‑focused in fast‑paced or high‑pressure situations
- Strong interpersonal skills with the ability to build trust and rapport with people from diverse backgrounds

- High attention to detail and strong organizational skills
- Ability to manage multiple priorities while meeting deadlines
