Administrative Aide - Full-Time - City of Bedford Heights Water Reclamation
GENERAL PURPOSE :
The Administrative Aide provides high-level administrative and organizational support to the executive leadership of the Water Reclamation department. This role involves managing daily operations, coordinating meetings, preparing reports, and ensuring smooth communication within the department and with external stakeholders.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Prepares and manages departmental records, including timesheets, payroll, and employee sick and vacation leave documentation.
- Answers and directs telephone calls, screens inquiries, and addresses complaints.
- Welcomes and assists visitors to the department and distributes incoming mail.
- Maintains records of City vehicle maintenance and fuel usage reports.
- Processes requests for purchase orders related to road salt, vehicle fuel, and office supplies as necessary.
- Coordinates and tracks records for City tool, table, chair, and truck loans.
- Handles filing, typing, and computer data entry tasks.
- Prepares, distributes, and keeps records of correspondence, notices, purchase orders, and reports as assigned.
- Assists with dispatching crews.
- Supports the Director of Water Reclamation with similar tasks as needed.
- Perform other duties as assigned.
DESIRED MINIMUM QUALIFICATIONS:
- High school graduate or equivalent experience and/or related education and at least eighteen (18) years of age.
- Proficient in typing, computer operation, data entry, and the use of typewriters and other office equipment.
- Capable of preparing and maintaining accurate records.
- Skilled in managing multiple tasks simultaneously while remaining calm under pressure.
- Strong problem-solving abilities and sound judgment.
· Effective in collaborating and communicating with colleagues and the public.
· Preferably, two years of responsible secretarial experience.
· Maintain employee morale.
