Juno Medspa is seeking a highly organized, proactive Executive Operations Assistant to support the daily operations of our luxury medical aesthetics practice and drive growth forward.

This role is designed as a growth track position for an exceptional candidate who can evolve into a full-time Director of Operations position.

You will work closely with the owner to improve systems, support the team, optimize workflows, and ensure an exceptional client experience at every touchpoint.

This is NOT a passive administrative role - we are looking for a problem-solver, implementer, and culture champion.

RESPONSIBILITIES

Among other things, your responsibilities will include:

Daily Operations Support

  • Assist with opening/closing oversight and facility readiness
  • Ensure rooms are stocked, organized, and presentation-ready
  • Monitor schedule flow and address operational bottlenecks
  • Support front desk team during busy periods
  • Troubleshoot day-to-day issues before they escalate

Team Support & Coordination

  • Serve as a resource for staff questions
  • Help enforce policies, procedures, and standards
  • Support onboarding of new team members
  • Coordinate schedules, PTO tracking, and coverage needs
  • Assist with team communications and updates
  • Maintain company protocols in accordance to the employee handbook

Client Experience Oversight

  • Ensure high standards of service and professionalism
  • Assist with service recovery when issues arise
  • Monitor reviews and client feedback
  • Support VIP client experience initiatives

Administrative & Systems Support

  • Assist with inventory monitoring and ordering
  • Track KPIs and performance metrics
  • Maintain SOPs and operational documentation
  • Support implementation of new processes and initiatives
  • Help prepare reports for leadership review

Growth & Marketing:

  • Assist with execution of promotions, events, and campaigns
  • Ensure marketing initiatives are implemented effectively in-office
  • Help maintain visual merchandising and retail displays
  • Support membership growth initiatives and retention efforts
  • Track promotion performance and client response
  • Assist with email, text, and in-office communication rollouts
  • Identify opportunities to improve booking conversion and upsells
  • Support social media content capture in-office when appropriate
  • Help ensure providers are following recommended treatment plans

Experience in medical aesthetics, healthcare, or hospitality is strongly preferred.

Growth Opportunity

This role is designed to transition into a full-time Director of Operations position for the right candidate who demonstrates leadership, initiative, and strong operational skills.
