Transport Coordinator

Position Summary:

The Transport Coordinator is responsible for supporting the Transport Manager in the day-to-day operations of the Transport Division by managing administrative functions, handling customer communication, and ensuring smooth, accurate execution of transport jobs. This role plays a key part in maintaining service quality, improving operational efficiency, and supporting leadership by taking ownership of tasks that prevent costly errors and delays.

Key Responsibilities:

• Handle incoming transport requests, prepare quotes, follow up with customers, and confirm job details.
  
  
• Accurately gather and process oversize/overweight permits, ensuring all documentation is correct and timely.
  
  
• Confirm pickup/drop-off addresses, load dimensions, and special instructions; enter accurate data into dispatch systems.
  
  
• Assist in scheduling drivers, tracking job progress, and communicating any delays or changes.
  
  
• Support billing by verifying hours, pricing, and documentation for driver commission processing.
  
  
• Serve as a key point of contact during job execution, maintaining clear communication with customers and drivers.

Requirements

Minimum Requirements:

• Strong knowledge of construction equipment (excavators, dozers, telehandlers, etc.) and how size/weight affects transport.
  
  
• Experience with OS/OW permitting, axle weight limits, and trailer configurations (lowboys, RGNs, step decks, etc.).
  
  
• Prior CDL-A driving experience (hauling equipment) or background as a logistics/transport coordinator in heavy haul or equipment transport.
  
  
• Ability to assess trailer/load compatibility and recognize when permits, routing, or escorts are needed.
  
  
• Proficient in Microsoft Office , Google Maps , and state DOT permit portals ; experience with dispatch software preferred.
  
  
• Exceptional attention to detail —accuracy in addresses, permits, and billing is critical.
  
  
• Strong written and verbal communication skills, and ability to manage multiple fast-paced tasks professionally.
