Benefit Supervisor (Canfield, OH)
Summary - The Benefit Supervisor will coordinate Pension Department activities and special projects. Will supervise staff in accordance with company policies and procedures. The Supervisor will proactively identify service, quality, and operational improvement opportunities and present recommendations to the Pension Director or manager to enhance member experience, reduce errors, and improve efficiency and turnaround times.
Essential Duties and Responsibilities in Supervisory Role include but not limited to
Personnel Policies and Procedures
The Supervisor is responsible to ensure that employees follow the organization's policies and procedures, to supervise the staff in accordance with company policies and procedures, and is responsible for staff scheduling, to include vacation scheduling, overtime assignments, back-up for absent employees, approving payroll, etc.
Staffing
The Supervisor is to regularly review the needs of their employees and department. It is also the Supervisors responsibility to assist in conducting interviews and testing with the Human Resource department and provide documented feedback regarding each candidate. The Supervisor will also coordinate with department manager for appropriate staffing levels and needs.
Employee Training and Development
The Supervisor will ensure that new employees are oriented to the organization, its policies, and facilities. Supervisors will develop training plans for each employee so that they have the necessary expertise to carry out their job and will provide ongoing guidance to employees, often in the forms of continuous coaching and testing. Supervisors will provide career counseling to help employees develop and advance in their career goals. Supervisors will also schedule and conduct regular staff meetings.
Employee Performance Management
The Supervisor will review job descriptions and make sure that they accurately record the primary responsibilities, qualifications and terms for each position in their department. The Supervisor sets performance standards for tasks, jobs and roles of their employees , as well as ensures that employees have appropriate and realistic goals, provide ongoing feedback about the employee's performance, conduct performance appraisals on a regular basis, including assessing how the employee has performed and what they can do to improve in their performance. A Supervisor will also develop performance improvement plans if an employee's performance is not adequate, as well as provide rewards for employee accomplishments.
Supervisors will coordinate department activities and special projects to ensure quality and meeting timetables. They are responsible for holding employees accountable for their daily tasks, conduct employee performance reviews, and are responsible for their department meeting productivity and quality goals.
Additional Responsibilities
Supervisors will communicate regularly with other supervisors and managers, be available for periodic travel and attend outside client functions as necessary. Supervisors will also be responsible for evaluating department processes and recommend and coordinate needed changes based on the process analysis. They will also be responsible for the documentation of all department practices and procedures.
Essential Duties and Responsibilities Specific to Pension Department include but not limited to
- Become familiar with general plan rules for pension as outlined in the Summary Plan Description (SPD) for each fund.
- Ensure pension staff is properly completing month-end tasks, i.e., month-end reports, ledger balancing, closing, manual check runs, etc. and annual tasks such as statements, actuary requests, external audits, etc.
- Verify legal documents such as divorce decrees, marriage certificates, birth certificates, etc. for accuracy.
- Review and approve pension files for payment as needed.
- Work closely with support concerning all programming/operations related matters. This will include, but not be limited to automation, enhancements, possible system errors, etc.
- Oversee that staff is working with Eligibility and Contribution departments for matters pertaining to Pension.
- Interact with Plan Management and/or clients regarding client issues both individual situations and overall Fund activities.
- Regular and predictable attendance is an essential function of this job.
Education and/or Experience - Associate or Bachelor degree in Business, Finance, Accounting, or related field, or equivalent combination of education and experience, preferred. Minimum three (3) years of experience in pension administration, benefits administration, or a related field, including at least one (1) year in a lead or supervisory role, required.
Language Skills - Ability to read and interpret the pension provisions as outlined in the SPD's, user manuals for on-line services, department rules and procedures manual and plan documents. Ability to speak and/or write clearly and effectively explain to members, dependents, and union officials the provisions of a plan document.
Mathematical Skills - Ability to calculate hours and rates to determine self-payments and hour banks.
Reasoning Ability - Must be capable of thoroughly analyzing vendor invoices and all month end reports. Find discrepancies in member's eligibility: make necessary corrections based on department procedures, Plan rules, and analysis of eligibility.
Work Environment - Fast paced department. Phone calls are continuous and often unpleasant. Must be able to maintain composure with difficult caller. Most work is done independently.
Work Schedule - Full time. Monday - Friday, 7:30am - 4:30pm. Required in office (no at-home days).

Pay
The pay range for this position is $65,000 - $85,000 per year. Actual salary is dependent on skills, experience, education, and other business factors.
