Looking to join a growing contractor on the east-side with multiple locations where your work directly supports day-to-day financial operations? This family-oriented team is seeking an Accounts Payable Specialist to help keep vendor payments, invoices, and financial records running smoothly in a collaborative, in-office environment.

Responsibilities

• Manage the full accounts payable process, including invoice verification, matching invoices to purchase orders, and preparing payments.
• Receive, review, and process invoices from vendors and subcontractors accurately and on time.
• Maintain vendor records, including W9s, COIs, and other required documentation.
• Monitor expense reports to ensure compliance with company policies.
• Prepare and schedule payments while ensuring deadlines and payment terms are met.
• Reconcile vendor statements and research discrepancies when needed.
• Respond to vendor inquiries and maintain strong communication regarding payment status.
• Maintain organized financial documentation and filing systems.
• Assist with 1099 tracking and year-end reporting requirements.
• Support month-end close activities and provide data to the finance team.
• Maintain equipment rental records and coordinate with operations and vendors as needed.
• Identify opportunities to improve AP processes and efficiency.
• Reports to the Chief Financial Officer.

Qualifications

• Accounts payable or accounting experience required.
• Experience in construction, contracting, or a similar industry preferred.
• Strong attention to detail with a focus on accuracy and organization.
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
• Strong communication skills for working with vendors and internal teams.
• Familiarity with tax documentation, such as W9s, COIs, and 1099s.
• Strong problem-solving skills with the ability to identify and resolve discrepancies.
• Ability to work both independently and as part of a team.
• Experience with construction accounting software (such as Foundation or similar systems) is a plus.
• Education background in finance, accounting, or a related field is a plus.
