Job Summary
The Operations Support Specialist plays a critical role in supporting our aggressive growth by managing parts procurement, work order processing, vendor relationships, and quality assurance across our operations. This remote position serves as the central hub between technicians, vendors, and internal teams—ensuring that parts are sourced efficiently, work orders are processed accurately, and completed jobs are prepared for invoicing. This dynamic and process-oriented role requires expertise in parts ordering, vendor management, and a deep understanding of material handling and heavy equipment components.
Key Job Responsibilities:
- Manage parts ordering, sourcing, and procurement for material handling and heavy equipment from existing and new vendors.
- Support field technicians and service management teams with timely parts sourcing, order status updates, and delivery coordination.
- Maintain and expand vendor relationships, evaluating options for best pricing, lead times, and service levels.
- Process work orders in the system, ensuring completeness, accuracy, and compliance with company standards.
- Conduct quality assurance checks on work orders and documentation received from the field.
- Organize and prepare completed work orders for monthly invoicing, collaborating with the accounting team.
- Proactively resolve issues related to order delays, parts availability, and work order discrepancies.
- Assist with inventory tracking and reconciliation as needed.
- Recommend process improvements to enhance efficiency and scalability as the company grows.
- Provide regular status updates to the Operations Director and participate in operational planning.
- Train and mentor new support staff as the team expands.

Requirements:Job Requirements:
- 5-7 years of experience in parts procurement, vendor management, or operations support (preferably in MHE, heavy equipment, or related fields)
- Strong knowledge of material handling/heavy equipment parts and supply chain
- Proficiency with MS Office Suite (especially Excel)
- Experience with ERP or CMMS systems preferred
- Excellent communication, organization, and interpersonal skills
- Ability to work independently in a remote setting and manage multiple tasks simultaneously
- Process-oriented mindset with strong problem-solving skills
- Ability to support occasional travel requirements
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred
