Administrative Assistant

Risk Management's Administrative Assistant performs specific duties as assigned by the Supervisor and various other duties as may be appropriate to the department and Agency. The Administrative Assistant provides high-level support to ensure efficient operation of the office. This role involves handling a wide range of administrative tasks, managing communications, and assisting with document preparation using Microsoft Word and Adobe tools. The ideal candidate is highly organized, detail-oriented, adaptable and thorough. The Administrative Assistant must possess the ability to thrive in a fast-paced environment while ensuring all work is completed accurately, on time, and to the highest standard. Discretion must be exercised in handling written and verbal material, which may be confidential, and of a personal nature. The Administrative Assistant must be able to interact with, and have impact upon, a wide range of professionals with varied backgrounds. Responsibilities Include:- Process all contracts following attorney approval, ensuring accuracy, compliance, and timely execution.
- Proofread contracts for grammar, formatting, and completeness prior to processing and distribution.
- Coordinate contract execution by routing documents to all necessary parties.
- Request and obtain Certificates of Insurance (COIs) and other required documentation from vendors.
- Maintain organized records of all executed contracts, amendments, and related documentation.
- Track contract status and follow up with stakeholders to ensure timely completion and return.
- Assist General Counsel and other Risk Management attorneys as needed.
- Assist the Quality Improvement Records Manager as needed.
- Update and maintain Risk Management's CLM (Contract Lifecycle Management) system.
- Track and ensure licensing requirements, and policy and procedure manuals are up to date and accurate.
- Photocopy and distribute various materials.
- Handle phone calls, emails, and correspondence promptly and courteously.
- Collect, record and tabulate statistical narrative reports, if needed.
- Attend scheduled staff meetings, supervision, and on-going training.
- Respect and protect the confidentiality of all client-related documents and information. Handle such materials strictly in accordance with Agency policies and guidelines on confidential records.
- Maintain high standards of ethical and professional conduct and adhere to Agency policies and procedures.
- Other duties as assigned by management.
Qualifications:
- Bachelor’s Degree in Arts or Sciences required.
- 1-3 years office experience required.
