Administrative Assistant to the Chair
:
This position serves as Administrative Assistant reporting to the Department Chair of the Department of Computer Science and Engineering. Works closely with Associate Chairs, faculty and staff of the department serving as the as scheduling coordinator and administrative assistant for the Department Chair and Associate Chairs.
Serves as a primary administrative support to the Department Chairperson; manages calendar, schedule and remind appointments and meetings, handles correspondence, provides input on matters related to operations; serves as liaison with external, university, college, and academic unit leaders; provides leadership and support for functions of the department; serves as liaison for chair and administrative staff as point of contact to provide guidance for routine questions/concerns. Attends all staff and faculty meetings; monitors and executes action items; supports faculty and staff recruitment activities including publicizing, maintaining files, scheduling interviews, assists in arranging travel and itineraries in coordination with other staff, offer packages and assembling data; performs other administrative duties as required; works independently on projects as assigned by the Chair.
Serves as coordinator for faculty search; departmental seminars; distinguished guest speakers; promotion and tenure; faculty reviews and external awards nominations.
Manages office coverage and workflow. Recruits, hires, and supervises student workers ensuring student work schedules cover department needs. Oversees responses to faculty and staff requests by student staff for a variety of needs including: making copies for tests; makes arrangements for meetings and special events including, but not limited to, reserving space, food and catering orders, technology needs, and pre and post-event clean-up; manages all conference room scheduling; reserves classroom pool rooms for special events (all non-class time requests) as requested; Assists Coordinator-Building Services with the facilities operations and needs; responsible for overall organization and cleanliness of lobby area; assists administrative services staff with duties;
Maintains department directories; maintains copiers and other office equipment; orders office supplies and maintains inventory; manages shipping and receiving needs of department; enters and maintains card swipe and keys; Works with space committee to assign space for faculty and grad students;
Qualifications
Required: High School diploma or GED with 4 years of business experience in an administrative capacity; knowledge of University policies, rules and regulations; attention to detail, ability to multi-task, and strong problem solving skills
Desired: Associate degree in business administration or related field.
Alternately candidate may have 6 or more years of experience in an administrative capacity; experience with communication and writing, editing, and publication production; knowledge and experience in coordinating events/functions; ability to work effectively with diverse population; knowledge of university procurement and HR policies and procedures strongly desired
The target hiring range for this job profile is $24.52 - $32.21 per hour, paid biweekly. The actual salary paid to an individual will vary based on multiple factors, including but not limit to, education, years of experience, internal equity, etc.
