Position: Property Accounting / Accounts Payable & Receivable Specialist

Starting Salary: $45,000 - $50,000

Key Responsibilities

Accounts Payable (AP)

• Enter and code vendor invoices accurately by property and expense category
• Maintain supporting documentation for all bills
• Prepare and schedule payments (ACH, check, wire) for approval
• Track due dates and ensure timely payments

Accounts Receivable (AR) & Rent Tracking

• Record rent payments and other income
• Monitor tenant balances and outstanding receivables
• Assist with delinquency tracking and coordination with property management

Rent Roll & Reporting

• Maintain an accurate and up-to-date rent roll across all properties
• Track lease terms, rent amounts, and occupancy changes
• Generate and update AR aging reports

Cash & Credit Card Management

• Record and categorize credit card transactions
• Match receipts to charges and maintain documentation
• Assist with tracking deposits and cash activity

Loan & Financial Tracking

• Maintain loan schedules including balances, payments, and due dates
• Track loan payments and assist with lender reporting as needed

Construction & Budget Tracking

• Track project expenses and budgets by property
• Compare actual costs to budget and flag variances

Vendor Management & Compliance

• Collect and maintain W-9s for all vendors
• Maintain organized and accurate vendor records
• Assist with 1099 preparation

Internal Controls & Accuracy

• Ensure all transactions are properly documented and categorized
• Follow approval workflows for all payments
• Flag unusual or high-value expenses for review

Document Management

• Organize and maintain digital records (invoices, receipts, contracts, loan documents)
• Ensure all documents are uploaded and filed in a timely and consistent manner

Support for Bookkeeping & Reporting

• Maintain clean and accurate data for external bookkeeper
• Assist in preparing records for monthly close and reporting
