We are seeking a Medical Front Office Manager / Volunteer Coordinator who brings empathy, flexibility, and excellent organizational skills to our dynamic clinic environment. Position Overview
The Medical Front Office Manager / Volunteer Coordinator is responsible for managing front office operations, supporting clinic workflow, and coordinating the volunteers who help us deliver care.
This individual will oversee patient scheduling and EHR management, and lead volunteer recruitment, training, and engagement. The right candidate will work closely with the leadership team to accomplish operational and strategic goals established by the Board of Directors.
Key Responsibilities
Medical Front Office Management
- Oversee front office operations to ensure smooth patient flow and a welcoming environment.
- Greet and assist patients with empathy and professionalism.
- Answer phone calls, schedule appointments, and manage patient inquiries.
- Maintain accurate records in the Electronic Health Record (EHR) system.
- Coordinate with clinical staff to ensure efficient communication and scheduling.
- Uphold patient confidentiality in accordance with HIPAA standards.
- Support leadership in implementing process improvements and reporting clinic metrics.
- Contribute to achieving organizational and strategic goals.
Volunteer Coordination
- Recruit, train, and supervise volunteers for clinical, administrative, and outreach support.
- Develop volunteer schedules and ensure adequate coverage for clinic operations.
- Foster a culture of appreciation and recognition for volunteers.
- Maintain up-to-date volunteer records
- Communicate regularly with volunteers through meetings, newsletters, and events.
- Collaborate with leadership to identify new volunteer roles and opportunities for engagement.
Qualifications
- Associate degree preferred (or equivalent combination of education and experience).
- Experience in medical office administration, healthcare coordination, or volunteer management preferred.
- Strong communication, interpersonal, and organizational skills.
- Ability to multitask and adapt to changing priorities.
- Compassion for underserved and vulnerable populations.
- Proficiency with Microsoft Office Suite and electronic health record systems.
