Part-time Staff: Administrative Assistant (non-continuing)
This administrative assistant will support the Small Business Development Center (SBDC) at Lakeland Community College (Grant Funded Position), which will provide primary administrative support services, with responsibility for managing day-to-day operations of the unit/division, including specialized duties unique to the unit/division's mission.
RESPONSIBILITIES (Non-inclusive)
- Relieve administrator of routine matters, acting as a liaison for department employees, students, visitors, or callers. Research and recommend solutions to problems and issues forwarded to the department. Compose replies to routine correspondence.
- Maintain a calendar of critical activities and all meetings, workshops, and projects to apprise administrator of action needed and pertinent deadlines. Prepare agendas and materials for meetings, workshops, and projects, or in anticipation of project deadlines.
- Coordinate timely intake and dissemination of information from reporting departments in accordance with administrator directives or other deadlines. Perform research to compile information and produce reports as requested.
- Perform secretarial tasks; produce simple and complex documents using various word processing and spreadsheet software; establish and maintain filing systems, take and transcribe meeting minutes; sort and distribute mail.
- Support events, projects, and workshops that the SBDC is leading or partnering in; oversee registration, provide needed reporting and maintain master files.
- Implement all phases of marketing, including, but not limited to, flyer development, social media post development and coordination, and website updates.
- Generate, process, and/or forward college paperwork as needed, relying on accepted policies and practices. Determine documents requiring administrator review and/or signature.
- Monitor budget of reporting areas, apprise administrator of variances/discrepancies, and work with other college personnel to resolve problems.
- Assist with or assume lead responsibility for annual projects with unit or college-wide impact. Plan, implement, and coordinate activities needed to ensure the timely completion of projects. Provide administrative support for other special projects.
- Plan and implement special events such as networking and speaker events, receptions, or dinners, and coordinate efforts with various college departments.
- Keep informed of changes in college policies and procedures, recommending subsequent changes in office procedures and operations.
- Maintain adequate quantities of office supplies and materials.
- Perform related duties as assigned.
QUALIFICATIONS
Education/Experience Training Required
- Associate's degree, preferably in office administration.
- Five years of administrative or marketing experience, which includes at least three years with responsibility for functions at the administrative assistant level.
- An equivalent combination of education and experience that provides the knowledge, skills, and abilities is acceptable.
Knowledge, Skills, and Abilities
- Knowledge of modern office practices, procedures, and equipment; basic principles of office management, correct English usage, and proper document formats.
- Skills in oral and written communications; operating word processing equipment, coordinating the operations of an office, and work activities of others.
- Must have prior proven experience with Microsoft WORD, EXCEL, PowerPoint, and Constant Contact, social media skills on the X, Facebook, and LinkedIn platforms. Experience with Canva and CRM software is a plus.
- Abilities to work independently; apply sound judgment in decisions, facilitate resolution of problems and handle issues within the authority boundaries of the position; apply appropriate policies and procedures; maintain office decorum and confidentiality; maintain effective interpersonal working relationships.
Physical Activity Level
- Light - Sit sometimes, walk and stand sometimes, lift up to 25 lbs. occasionally.
CONDITIONS OF EMPLOYMENT
- This is a part-time, non-continuing staff position. The hourly salary is a 7A on the staff salary schedule. The hiring rate for this position is $19.03/hour - $24/hour with non-insurance college benefits that include paid time away (vacation, personal, sick, and holiday pay) and prorated tuition.
- The 25 hour/week work schedule would be Monday-Friday, 5 hours a day during college business hours. Some flexibility to occasionally work early morning and evening events and possible 2 day conferences in Columbus.
- Please note: The final offer for the successful candidate is targeted to fall within this range but will be based upon an assessment of internal equity, the unit's available budget, and the candidate's qualifications in relation to the minimum and/or preferred job requirement(s).
