Director, Office of Executive Affairs

The Office of Executive Affairs serves as the centralized executive support function for ECDI, providing strategic coordination, executive administration, board governance support, relationship management, executive communications, and advancement support to the CEO, President, Chief Government Affairs Officer, and Executive Leadership Team.

The Director, Office of Executive Affairs serves as the strategic partner to the CEO, President, and Chief Government Affairs Officer by leading the Executive Office and advancing executive priorities through high-level project management, executive communications, board governance, relationship management, research, and strategic planning support.

This position oversees the day-to-day operations of the Office of Executive Affairs while ensuring executive leadership is equipped with the information, relationships, and resources necessary to effectively lead the organization. The Director anticipates executive needs, manages complex initiatives, prepares executive briefings, and coordinates confidential projects that advance ECDI's strategic priorities.

Essential Duties & Responsibilities:
Executive Office Leadership
  • Lead the Office of Executive Affairs in support of the CEO, President, and Chief Government Affairs Officer.
  • Establish the vision, priorities, workflows, service standards, and operating procedures for the Executive Office.
  • Provide strategic leadership and oversight of Executive Office operations to ensure exceptional executive support services.
  • Direct Executive Office planning, resource allocation, and organizational coordination to align with executive priorities and strategic objectives.
  • Monitor executive initiatives, organizational priorities, and key deliverables to ensure accountability, timely execution, and organizational alignment.
  • Continuously evaluate and improve Executive Office systems, processes, and workflows to enhance executive effectiveness and organizational efficiency.
  • Safeguard the integrity, confidentiality, and stewardship of executive communications, records, and sensitive organizational information.
Executive Strategy & Decision Support
  • Serve as the strategic advisor and administrative partner to the CEO, President, and Chief Government Affairs Officer.
  • Anticipate executive needs by identifying emerging issues, organizational risks, and strategic opportunities.
  • Develop executive briefing books, decision memoranda, executive summaries, and analytical reports to support informed executive decision-making.
  • Conduct executive-level research on organizations, corporations, foundations, elected officials, community leaders, and strategic partners.
  • Analyze organizational issues and develop recommendations that support executive decision-making and organizational priorities.
  • Coordinate cross-functional information gathering and strategic initiatives on behalf of executive leadership.
  • Monitor progress on Executive Leadership goals and organizational strategic initiatives through executive dashboards and performance reporting.
Executive Communications & Relationship Management
  • Develop executive communications, messaging, speeches, presentations, talking points, and sensitive correspondence for internal and external audiences.
  • Serve as the primary coordinator for executive stakeholder engagement and relationship management.
  • Develop and maintain executive relationship intelligence, including:
    • Donor histories
    • Corporate relationship maps
    • Board engagement records
    • Government stakeholder profiles
    • Community leadership profiles
    • Executive follow-up strategies
  • Coordinate executive introductions, relationship histories, stakeholder briefings, and communication strategies that strengthen organizational partnerships.
Executive Initiatives & Special Projects
  • Lead high-priority executive initiatives and special projects from concept through implementation.
  • Coordinate strategic initiatives involving multiple departments and executive leaders.
  • Support executive strategic planning, organizational planning, and change management initiatives.
  • Conduct research, evaluate opportunities, and prepare recommendations for executive consideration.
  • Identify opportunities to improve organizational effectiveness, executive operations, and cross-functional collaboration.
  • Perform additional strategic assignments as directed by the CEO or President.
Leadership Responsibilities
  • Direct, coach, mentor, evaluate, and develop the Manager, Office of Executive Affairs while fostering professional growth and accountability.
  • Establish departmental priorities, performance expectations, and service standards for the Office of Executive Affairs.
  • Delegate Executive Office responsibilities while maintaining oversight of quality, consistency, and timeliness.
  • Promote continuous improvement, innovation, and operational excellence within the Executive Office.
  • Foster collaboration and strong working relationships across all departments and executive leadership.
  • Represent the Office of Executive Affairs as a trusted strategic resource to executive leadership and organizational stakeholders.
Success Measures
  • Executive leadership consistently receives strategic, timely, and decision-ready information that enables effective organizational leadership.
  • Executive priorities, strategic initiatives, and organizational goals are advanced through proactive planning, coordination, and accountability.
  • Executive communications, relationship management, and special projects are executed with professionalism, accuracy, and discretion.
  • The Office of Executive Affairs is recognized as a trusted strategic partner that enhances executive effectiveness, organizational collaboration, and mission advancement.
Minimum Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.
Knowledge, Skills and Abilities
  • Ability to maintain confidentiality.
  • Comprehensive knowledge of standard office practices, procedures, equipment, and techniques.
  • Computer skills:
    • High level of proficiency in the use of Microsoft Office programs, especially MS Word, MS Excel and MS PowerPoint.
    • Familiarity with CRM software and/or Salesforce, a plus.
    • Experience using meeting technology including audio visual equipment, industry software and web and video conferencing.
Education and/or Experience
  • 7–10 years executive support or executive office leadership.
  • Bachelor's degree required.
  • Master's preferred.
  • Experience supporting CEOs or Boards.
  • Experience with philanthropy.
  • Experience preparing executive briefings.
  • Government relations experience preferred.
  • Strong research and strategic planning.
  • Project management experience.
Special Requirements:
  • Occasional after-hours work and travel required.
Other:
  • This position is a hybrid role.
  • Must have access to transportation in order to travel to and from the office and to meet with clients.
  • Typically, the employee must be able to remain in a stationary position 50% or more of the time. The person in this position will occasionally move about inside the office to access file cabinets, office machinery, etc., and operate a computer and other office productivity machinery such as a copy machine and computer printer.
  • Positions self to move items up to 15 pounds, such as printer paper boxes across the office as needed. Requests for reasonable accommodations will be considered.
