Operations Assistant
Warner Technology Corp is a profitable, fast-growing provider of specialized technology solutions to U.S. Federal agencies and defense customers. The company currently consists of the founder, a small development team, and contracted services. This entry-level role supports the Director of Operations in day-to-day administrative and operational tasks, helping to keep the company running smoothly. (This is an administrative support position with opportunities for growth as the company expands).
This role reports directly to the Director of Operations and offers hands-on experience in a dynamic small business environment.
Job Responsibilities
- Assist with internal organization and documentation advanced capabilities with Microsoft Excel or Google Workspace (Drive, Docs, Sheets, Sites, etc.), including file management and updating shared resources.
- Support bookkeeping tasks in QuickBooks Online, such as data entry, reconciliations, and preparing reports for monthly close in coordination with the CPA.
- Help with invoicing, accounts receivable follow-up, vendor payments, and basic payroll processing.
- Aid in creating and maintaining repeatable processes, templates, and basic contracts under guidance from the operations team and legal.
- Assist with SAM.gov renewals, basic compliance tracking, and contract file organization.
- Support minimal marketing efforts, such as updating website content, preparing one-pagers or capability statements, and coordinating outsourced social media or email tasks.
- Provide administrative support for customer interactions, including scheduling calls, preparing materials, and note-taking.
- Handle ad-hoc tasks like supply ordering, travel arrangements, and general office coordination as needed.
- Contribute to team efficiency by identifying areas for improvement in daily workflows.
Suggested Qualifications
- 1-2 years of experience in administrative, operations, or support roles, ideally in a small business, tech company, or government-related field (entry-level candidates with relevant internships or coursework considered).
- Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
- Proficiency in Google Workspace or Microsoft Office and basic familiarity with QuickBooks Online (or willingness to learn quickly).
- Strong written and verbal communication skills; comfortable with professional interactions.
- Proactive attitude, reliable, and excited to grow with a small, high-impact team.
Compensation & Benefits
- $40,000 annual base salary
- Full Custom Health insurance (100% employee + family coverage).
- 401(k) with match.
- 2 weeks PTO + optional unpaid 3rd week.
- 1 week paid sick leave.
- Up to 30 days travel (U.S. and OCONUS, if needed, but minimal for this role).
- 90% remote, 10% on site (a few days a month, especially during onboarding).
