Accounting Manager

The Accounting Manager is a key member of Daybreak's Finance Department and serves as the primary support to the Finance Director. This role is responsible for day-to-day accounting operations and plays a significant role in grant billing, payroll support, staff cost allocations, budgeting, reporting, and audit preparation. The Manager ensures accurate financial records, compliance with all grant requirements, and supports the leadership in analyzing and maintaining Daybreak's fiscal health. This position also participates in financial statement preparation and reconciliations to ensure integrity across all financial systems.

Accounting and Financial Reporting

• Prepare accurate and timely financial statements in accordance with the established monthly and quarterly schedules, with input from the Finance Director and accounting team.
• Conduct regular ledger maintenance and ensure integrity of financial data.
• Analyze financial statements for discrepancies and bring key issues to the leadership's attention.
• Perform monthly and quarterly account reconciliations to ensure accurate reporting and general ledger maintenance.
• Reconcile balance sheet accounts and ensure transactions are properly recorded.
• Assist with maintaining and updating fixed asset schedules, contributing to capital improvement and replacement planning.

Grant Management and Billing

• Prepare and submit accurate, timely invoices for federal, state, and private grants, ensuring compliance with funder requirements.
• Track grant budgets, expenditures, and performance to support reporting and ensure appropriate use of funds.
• Serve as a primary point of contact for grant-related inquiries, funder monitoring, and financial audits.
• Collaborate with program staff to collect data and documentation needed for grant reports and outcome tracking.
• Prepare monthly grant summary budgets and assist in recording grant revenue.

Payroll and Staff Allocations

• Assist with processing bi-weekly payroll in coordination with HR and the Finance Director.
• Maintain staff allocations across multiple grants and funding sources, ensuring proper coding and expense tracking.
• Reconcile payroll costs with grant and program budgets.

Budgeting and Planning

• Assist the CFO with preparation and maintenance of the annual organizational and program budgets.
• Monitor budget-to-actual performance and flag variances or risks.

Audit Preparation and Compliance

• Coordinate semi-annual and annual audits, including compiling documentation and responding to auditor requests.
• Assist the Finance Director in ensuring compliance with internal policies, Generally Accepted Accounting Principles (GAAP), and all regulatory and grantor requirements.

Qualifications

Completion of a post-secondary program (Associates or Bachelor's degree in Accounting or Finance or related field required. Minimum of 3 years experience in accounting required. Not-for-profit experience and experience with governmental grants at a nonprofit organization is preferred. Proficient in MS Office, especially Excel required.

It is the policy of Daybreak to ensure that the facility is in compliance with all license requirements and that all employees are fit for duty. Once a conditional offer of employment has been given, Daybreak requires that all prospective employees sign a background check release form and pass pre-employment testing before a start date may be given.

Background Check

Daybreak is required by State of Ohio law to perform a criminal background check, which includes fingerprinting, of eligible applicants. In addition to the fingerprints, Daybreak requires the following additional background checks.

• Federal Exclusion databases including:
  • National Sex Offender Registry
  • Office Inspector General (OIG)
  • Nurse Aide Registry
  • SAM
  • of Developmental Disabilities (DODD)
• Motor Vehicle Report

Pre-employment Testing

The following pre-employment tests will be conducted at Daybreak's expense. Tests include:

• A tuberculin skin test or chest x-ray (by a physician of Daybreak's choosing)
• A urine drug screening (by a testing facility of Daybreak's choosing)

Should the pre-employment reviews indicate that the prospective employee does not meet the employment requirements, Daybreak has the option of either not hiring the person or postponing employment until the condition prohibiting employment has been removed.

If the background or pre-employment checks contain information that the applicant has committed, been convicted of, or pleaded guilty to any criminal offense, unless the charge was a minor misdemeanor not involving violence or a sexual offense at least 5 years old, or if the applicant refuses to submit fingerprints for a criminal background check, the conditional offer of employment will be withdrawn immediately.

Pursuant to SB 38 (child-serving agency), if it is determined that the applicant has committed one of the disqualifying events listed on the attached Ohio Revised Code Disqualifier sheet may prevent employment at Daybreak.
