Office Support Specialist
Careerscape is recruiting on behalf of our client, a well-established professional services firm based in Chicago, IL for an Administrative Assistant to join their team on a remote basis. Day to day, you'll be the connective tissue between departments, fielding calls and emails, managing calendars, processing documents, and keeping supply and vendor coordination on track without missing a beat. This role suits someone who thrives on structure and variety in equal measure, enjoys being the person others rely on to get things done, and is comfortable juggling multiple priorities in a fast-moving, remote-first professional services environment.
Responsibilities
- Serve as the first point of contact for incoming calls, emails, and client inquiries
- Manage and coordinate executive and team calendars, meetings, and travel arrangements
- Prepare, format, and proofread client-facing documents, reports, and correspondence
- Maintain digital filing systems and ensure accurate recordkeeping across departments
- Coordinate scheduling and logistics for internal meetings and client engagements
- Process incoming and outgoing mail, deliveries, and courier requests
- Track and order office supplies, coordinating with vendors as needed
- Support onboarding of new hires with administrative setup and documentation
- Assist accounting or HR teams with data entry, invoicing, and expense tracking
- Handle special projects and ad hoc administrative requests from leadership
Requirements
- 1 to 3 years of experience in an administrative, office support, or front office role
- High school diploma required, associate or bachelor's degree preferred
- Proficiency with Microsoft Office Suite including Word, Excel, and Outlook
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast paced setting
- Comfortable working independently in a remote environment with minimal supervision
- Experience with scheduling tools and virtual meeting platforms such as Zoom or Teams
- Professional demeanor and discretion when handling confidential information
