Role Overview: The successful Match Support Specialist has a growth mindset, is organized, patient and persistent, and will provide regular, ongoing match supervision for a caseload of community-based and site-based Big/Little matches.
This position will be instrumental in supporting the safety and well-being of children involved with Big Brothers Big Sisters (BBBS) High School Bigs program and will plan and facilitate weekly sessions utilizing a specified curriculum, ensuring positive outcomes for youth, and fostering strong relationships.
The primary functions of this position are to build relationships with school staff and students, collaborate on referrals, assist with the enrollment process of school-based mentorships (matches), and provide match support to ensure child safety and meaningful relationships between Littles and volunteers (Bigs). The Specialist will work to enhance match length, contact rates, retention, volunteer rematch rates, and overall satisfaction.
Position Responsibilities:
- Match Relationship Assessment: Continuously evaluate match relationships focusing on child safety, relationship development, positive youth development, and volunteer satisfaction. Address issues promptly, adhering to BBBS standards for match support frequency.
- High School Bigs Program: Work closely with high school mentors (Bigs) and their mentees (Littles) to support and enhance the High School Bigs mentoring program. Plan and lead weekly group sessions utilizing BBBS curriculum.
- Training and Support: Assess and meet individual training and support needs of each match participant.
- Youth Outcome Development Plan (YODP): Develop, implement, and update the YODP at the start and throughout the life of each match.
- Strategic Interventions: Identify and develop strategic interventions to support and strengthen match relationships needing additional assistance.
- Program Compliance: Maintain compliance with the Big Brothers Big Sisters Service Delivery Model and organizational standards. Ensure program activities align with goals and objectives.
- Documentation and Reporting: Provide all necessary documentation, reports, data, and case management notes. Maintain accurate and timely records in Matchforce (agency information management system) for reporting and evaluation purposes. Ensure data accuracy and comprehensive documentation of all interactions with volunteers, parents, and children.
- Event Planning and Coordination: Assist with planning and coordinating special events and match-related activities for the High School Bigs program as well as Community Based program. Maintain an annual event calendar and manage logistical details related to events.
- Volunteer and Youth Engagement: Attend and support recreational and educational group match activities. Conduct orientation and training for High School Bigs and their Littles.
- Collaboration: Collaborate with other service delivery staff to ensure smooth operations. Foster positive communication and relationships among team members.
- Public Relations and Fundraising: Participate in public relations, recruitment, and fundraising activities as requested.
- Additional Duties: Perform other duties as assigned.
Position Requirements:
- Education: Bachelor’s degree in social services, education, or a related field required.
- Experience: Experience in assessment and relationship development with children and adults. Customer service experience and knowledge of child development and family dynamics are essential.
- Flexibility: Must be flexible to accommodate last-minute changes. Availability for evenings and weekends is necessary to meet the scheduling needs of volunteers and families.
- Skills: Excellent communication, team building, problem-solving, and decision-making skills. Ability to handle sensitive information and maintain confidentiality.
- Technical Proficiency: Proficient in Microsoft Office, including Word, Outlook, and Excel. Familiarity with Salesforce for documentation and data management.
