Administrative Assistant

Description We are looking for a detail-oriented Administrative Assistant to support billing and administrative operations in the construction sector. This role is based in Cincinnati, Ohio, and requires someone skilled in managing contracts, maintaining accurate records, and collaborating with teams to ensure operational efficiency. Responsibilities: - Set up new construction projects within the accounting system while ensuring all records are accurately maintained. - Monitor and enter owner contracts, subcontracts, and change orders to uphold compliance and precision. - Develop and implement streamlined administrative processes to improve workflow and team productivity. - Collaborate with project managers and accounting personnel to identify and resolve discrepancies. - Maintain the integrity of project data through consistent updates and thorough checks. - Provide administrative support to ensure the smooth execution of construction projects. - Utilize construction-specific software applications to manage project documentation effectively. - Prepare and organize reports related to project contracts and financial updates. - Support team members in using Microsoft 365 tools for enhanced communication and documentation. - Contribute to the continuous improvement of administrative operations by identifying areas for enhancement. Requirements - Minimum of 2 years' experience in administrative roles, preferably within the construction industry. - Strong understanding of construction contracts, change orders, and project documentation. - Proficiency in using construction applications software and Microsoft BizTalk. - Skilled in utilizing Microsoft 365 Enterprise for administrative tasks and communication. - Ability to manage multiple priorities while maintaining accuracy and attention to detail. - Effective problem-solving skills with a focus on resolving discrepancies in project data. - Familiarity with administrative procedures and management practices. - Excellent collaboration and communication skills to work effectively with cross-functional teams.
