Administrative Assistant
Job Summary
We are seeking a reliable and detail-oriented Administrative Assistant to support daily operations at a busy construction site office. This role is essential to keeping administrative processes running smoothly, including employee onboarding, timecard tracking, document management, and general office coordination. The ideal candidate is organized, proactive, and comfortable working in a fast-paced, project-driven environment.
Key Responsibilities

Support onboarding activities for new employees, including preparing paperwork and assisting with system access and setup

Accurately enter and submit employee timecards on a timely basis

Manage the company phone system and related applications, including device ordering, replacements, assignments, and basic troubleshooting

Maintain organized digital filing systems and ensure documents are properly stored and updated

Create, update, and maintain documents, spreadsheets, and databases to support office and project operations

Set up employee logins, manage passwords, and process resets in accordance with security procedures

Monitor office equipment, perform basic troubleshooting, and coordinate with vendors for repairs or service

Assist with preparing meeting presentations and take clear, accurate meeting minutes

Help maintain a clean, organized, and efficient office and facility environment

Order, track, and manage office supplies, including branded apparel, gifts, and staff uniforms

Manage contractor and business licenses, ensuring records and documentation are current and accurate

Collaborate with another administrative assistant and project managers to support day-to-day site operations
Required Qualifications

Minimum of 2 years of administrative experience
-
Strong organizational, scheduling, and document management skills
-
Proficiency in Microsoft Office applications (Word, Excel, Outlook)

High level of accuracy and attention to detail, particularly with data entry

Ability to manage multiple priorities in a fast-paced environment

Strong written and verbal communication skills

Comfortable troubleshooting basic office equipment and phone system issues

Experience working with digital filing systems, spreadsheets, and databases
Preferred Qualifications

Previous experience in a construction or manufacturing environment

Familiarity with phone systems and mobile or desktop applications

Experience coordinating with external vendors and service providers

Ability to prepare presentation materials and capture concise meeting minutes

Comfortable working independently as well as collaboratively within a small team
Job Type & Location
This is a Contract to Hire position based out of New Albany, OH.
Pay and Benefits
The pay range for this position is $19.00 - $21.00/hr.
