Career Opportunity: Administrative Assistant/Clerk of Council

The City of Sylvania is seeking a detail-oriented, professional and dependable Full-Time Administrative Assistant to the Mayor/Clerk of Council to manage the mayor’s office and city council duties. This role is a very important, front-line position that handles questions and concerns from residents, the general public and other elected officials.

Job Responsibilities:

Under the direction of the Mayor, performs a multifaceted administrative role, providing essential support to the Mayor on a daily basis. This role serves as the primary administrative point of contact, handling all incoming public inquiries, coordinating staff calendars and meetings, and preparing vital documents such as official correspondence and reports. The position must possess excellent communication skills, demonstrate proficiency in office management software, and be committed to maintaining professional courtesy to the public, residents and other employees.

Under the direction of the Director of Law, the Clerk of Council is responsible for attending all meetings of Council, preparing and distributing agendas and keeping a record of Council’s proceedings. The Clerk of Council is also responsible for keeping and having custody of records of all ordinances, resolutions, rules, regulations and bylaws adopted by Council and of its proceedings, and such records shall be available for public inspection. This position is also responsible for writing all legislation, publishing and authenticating all ordinances, resolutions, notices, statements, rules, proclamations and reports required by the Charter, the applicable laws of Ohio or legislation enacted by Council.

Finally, this individual shall perform any and all duties assigned by the Mayor and/or Director of Law.

Preferred Qualifications:

Bachelor’s degree, majoring in office administration, legal assistance or equivalent, extensive experience as an executive administrative assistant with thorough knowledge of office terminology, procedures and equipment. Legal experience and background helpful. Agrees to become a Certified Municipal Clerk within four years of starting date, with involvement in the Ohio Municipal Clerks Association. This individual needs to be able to handle possible problem/conflict solving independently and professionally.

Compensation:

Starting pay: $33.02 per hour
