The Clinic Lead role is responsible , in collaboration with Practice Manager, for the operational, financial, and administrative performance of First Docs' outpatient physician clinic in New Jersey. This leader provides day to day clinic MA staff supervision and ensures exceptional patient experience, efficient clinic operations, regulatory compliance, provider satisfaction, and achievement of key operational and financial goals . This role serves as the primary operational leader for NJ Clinic and partners closely with Practice Manager for directions and with physicians, advanced practice providers, clinical staff, revenue cycle, credentialing, human resources, and executive leadership to support First Docs' mission of delivering high-quality, patient-centered care.
Clinic Operations :
Supervise the daily operations of NJ outpatient practice locations.
Implement the standardized workflows that improve efficiency and patient access and ensure smooth clinic flow while minimizing patient wait times.
Monitor provider schedules and optimize appointment utilization .
Supervise front desk, clinical support, scheduling, referrals, authorizations, and patient communications.
Develop contingency plans for staffing shortages and operational disruptions.
Provider Support:
Serve as the primary operational liaison for physicians and APPs and p artner with providers to improve clinic efficiency and patient access. Supports provider scheduling, templates, and productivity initiatives.
Coordinate s provider onboarding and orientation.
Identify operational barriers affecting provider performance and implement solutions.

Patient Experience: Promote an exceptional patient experience throughout every interaction and Monitor patient satisfaction metrics.
Financial Management in conjunction with the Practice Manager
Revenue Cycle Support:
Ensure timely insurance verification and prior authorizations.
Monitor registration accuracy.
Reduce claim denials through operational improvements.
Coordinate with billing teams to resolve operational issues affecting reimbursement.
Monitor payer trends and authorization turnaround times.
Quality & Compliance:
Maintain regulatory compliance (HIPAA, OSHA, CMS, Medicate, State, etc.)
Support quality improvement initiatives and p articipate in internal audits.
Ensure appropriate documentation and record retention.
Implement corrective action plans when necessary.
Performance M etrics in conjunction with the Practice Manager:
Monitor and improve practice performance including: patient and provider satisfaction, Clinic utilization , Schedule optimization , New patient growth , patient retentio n, No-show rates , Same-day access , Referral completion rates , Authorization turnaround time .
Technology & Systems:
Optimize utilization of the Electronic Medical Record (EMR).
Train staff on practice management systems.
Identify opportunities for workflow automation.
Support implementation of new technologies .
Ensure data integrity and reporting accuracy.
Continuous Improvement Initiatives:
Lead Lean process improvement initiatives.
Develop and maintain standard operating procedures.
Benchmark practice performance against organizational goals.
Participate in strategic planning initiatives with Practice Manager and Operations Directors .
Job Requ irements:
Minimum of 5 years of experience as a Medical Assistant in an outpatient setting .
A minimum of 2 years of experience with supervising MA administrative staff in the clinic/practice .
Experience with practice operations, scheduling, billing, and revenue cycle.
Ability to work directly with providers to troubleshoot issues, address concerns, and implement effective solutions in a timely manner .
Experience with EMR and Microsoft Suite.
Regulatory compliance knowledge.
Experience with Medicare and commercial insurance.
Physical Requirements:
Ability to sit, stand, and walk for extended periods.
Ability to lift and move up to 50pounds.
