Position Summary

The Administrative Assistant provides administrative support to ensure the efficient operation of the office. This role involves managing office administration, logistics, communications, organizing schedules, maintaining records, and assisting staff with day-to-day administrative tasks.

Key Responsibilities

  1. Office Administration
  • Answer and direct phone calls, emails, and other correspondences.
  • Prepare, edit, and distribute documents, reports, and presentations.
  • Maintain filing systems (physical and electronic).
  • Order and manage office supplies and equipment.
  • Assist with data entry and record management.
  • Welcome visitors and provide general support to clients and staff.
  • Handle confidential information with professionalism and discretion.

2. Logistics and Travel

  • Coordinate travel arrangements, including flights, visas, and transportation.
  • Arrange accommodation and related logistics when required.
  • Ensure that all travel plans are properly documented and communicated.

3. Meetings and Conferences

  • Schedule meetings, appointments, and maintain calendars.
  • Organize and support meetings, workshops, and conferences.
  • Prepare meeting agendas and supporting documents.
  • Assist with logistics for events (venue booking, materials, coordination).

4. HR Management Support

  • Support recruitment processes, including scheduling interviews and coordinating candidate communication.
  • Maintain employee records and ensure accurate and up-to-date HR documentation.
  • Assist with onboarding and induction of new staff.
  • Support leave tracking and attendance records.
  • Help coordinate staff training and development activities.
  • Provide administrative support for HR policies and procedures implementation.
  • Ensure confidentiality of employee information and HR records.

5. Other Duties

  • Perform other administrative and operational tasks as assigned.

Qualifications

  • Bachelor's degree in a relevant field.
  • At least 3 years of experience in a similar role, preferably in a non-profit or development organization.
  • Experience with project management and event planning.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software and administrative procedures.
  • Excellent written and verbal communication skills in English. Proficiency in French is a plus.
