Show and Event Project Coordinator
The Show & Event Project Coordinator is responsible for planning, coordinating, and supporting the execution of all logistical aspects related to the construction, setup, tear-down, transportation, and material management for our trade show, showroom, and event displays for home remodeling projects. This role ensures that all shows and events are completed on time, within scope, and aligned with company quality standards. While this role does not require hands-on construction, it does require the coordination of internal teams, third-party vendors, skilled labor, and transportation providers to ensure smooth, high-quality delivery and removal of our displays.
ESSENTIAL JOB FUNCTIONS:
Project Planning & Coordination
- Coordinate and schedule the setup and teardown of trade show booths, retail displays, and event environments.
- Liaise with internal marketing, design, and production teams to align on display requirements and timelines.
- Confirm all vendors, staffing, and material needs are in place prior to event setup.
- Maintain communication with all stakeholders and vendors throughout each event lifecycle.
- Oversee ordering, preparation, and delivery of materials and displays.
- Manage event inventory, ensuring all assets are tracked, transported, and maintained in good condition.
- Ensure timely return and reconciliation of rental equipment and assets.
- Coordinate truck loading/unloading schedules and manage transportation vendors.
- Source and schedule technicians or subcontractors for event setup and teardown as needed.
- Confirm all labor, material, and equipment resources are aligned with setup requirements.
- Serve as point of contact during on-site setup/teardown; escalate issues as needed.
- Ensure final display installations meet brand visual standards and are presentable for public-facing events.
- Collect and document photos of displays before, during, and after setup.
- Work with Design and Marketing teams to continuously improve and innovate display concepts.
Communication & Documentation
- Update CRM and project tracking systems with accurate records of each show’s logistics and deliverables.
- Document any lessons learned or process improvements to streamline future events.
- Provide timely updates to internal stakeholders on project progress, delays, or issues.
- Ensure proper pictures are uploaded to company cam for event setup and materials handling
- Track expenses to ensure that all events are coordinated within budget
- Oversee event storage areas to ensure they are clean, maintained, and organized
- Coordinate repairs or replacements of damaged display items.
- Fulfill other Production, Marketing, or Operations assignments as needed.
- 2+ years of project coordination or logistics experience; event or tradeshow coordination a plus
- Excellent organizational and communication skills
- Ability to prioritize and manage multiple timelines simultaneously
- Strong problem-solving skills and comfort working in fast-paced, deadline-driven environments
- Experience working with vendors, subcontractors, or labor crews preferred
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with Salesforce or CRM systems a plus
- Valid driver’s license required; ability to travel locally as needed
- Occasional travel and overnight work required for regional show setup
