Salary: $60,000-$70,000 annually, depending on experience
We are seeking a highly organized and customer-focused Administrative/Customer Service Representative to join our team. Reporting directly to the Senior Vice President, this role will serve as a key liaison between customers, regional customer account managers, national account managers, and the ReConserve data and maintenance team. The successful candidate will handle lower-level customer inquiries via phone and email, determining whether to resolve issues independently or route them to the appropriate team. This position will facilitate communication between customers and the ReConserve data and maintenance team to track requests and ensure timely completion of jobs, while also supporting national account management functions to ensure seamless service delivery for key clients. The role involves interfacing with vendors to obtain monthly pricing, place orders, track shipments, issue purchase orders (POs), and ensure timely payment. Additional responsibilities include administrative tasks such as file management, organization, and miscellaneous support, as well as generating reports and evaluations using company databases. The ideal candidate will have excellent Excel skills, a strong background in CRM management, and the ability to work effectively in a fast-paced, on-site environment.
Key Responsibilities
- Customer Support : Field incoming customer calls and emails, addressing lower-level inquiries promptly and professionally. Resolve issues independently when possible or escalate to regional or national customer account managers or the ReConserve data team as needed.
- Communication Liaison : Act as a point of contact between customers, national account managers, and the ReConserve data and maintenance team, improving communication, tracking customer requests, and monitoring job completion to ensure customer satisfaction.
- National Account Support : Assist national account managers by providing administrative support, generating reports, and ensuring consistent communication and service delivery for national accounts.
- Vendor Management : Interface with vendors to obtain monthly pricing, place orders, track shipments, issue purchase orders (POs), and ensure timely payment to maintain smooth vendor relationships and operational efficiency.
- Administrative Duties : Perform administrative tasks including file management, organization, and general assistance with miscellaneous tasks as directed by the Senior Vice President.
- Data and Reporting : Utilize company databases to generate reports and evaluations as requested. Leverage advanced Excel skills to analyze data, create spreadsheets, and present findings to support business objectives, including national account performance.
- CRM Management : Maintain and update customer information in the company's CRM system, ensuring accurate records of interactions, inquiries, and resolutions, with particular attention to national account data.
- Collaboration : Work closely with regional and national customer account managers and the ReConserve data and maintenance team to ensure seamless communication and alignment on customer needs and project statuses.
Qualifications
- Education : High school diploma or equivalent required; associate's or bachelor's degree in business administration, communications, or a related field preferred.
- Experience :
- Minimum of 2-3 years of experience in a customer service or administrative role.
- Proven history of CRM management and working with company databases.
- Demonstrated experience generating reports and evaluations.
- Experience with vendor management, including pricing, order placement, and payment processes, is a plus.
- Familiarity with supporting national account management or key client relationships is preferred.
- Skills :
- Advanced proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, data analysis).
- Strong knowledge of CRM software and database management.
- Excellent verbal and written communication skills.
- Superior organizational and time-management abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Familiarity with purchase order systems, vendor coordination, and national account management processes preferred.

Working Conditions
- Full-time, on-site position in Marion, OH, Monday through Friday.
- Fast-paced environment requiring the ability to manage multiple priorities and adapt to changing needs.
- Occasional overtime may be required to meet business demands.
