Title: Senior Order Administration Representative
Location: Dayton, OH | Hybrid – onsite 4 days per week
Assignment Length: 6 months
Compensation: $24.00 per hour
We’re looking for a detail-oriented and collaborative Senior Order Administration Representative to support our quote-to-cash cycle. In this role, you’ll process and manage customer orders, assist with complex deals, and work cross-functionally to ensure smooth operations and high customer satisfaction.
Key Responsibilities
- Process advanced-level customer orders via email, phone, sales quotations, and online portals
- Assist sales teams with preparing and converting advanced-level quotes into orders
- Support complex contracts and deals with large customers, government agencies, and partners
- Monitor order status and proactively communicate delays or issues
- Respond to customer inquiries regarding order status, software provisioning, shipping, and product availability
- Collaborate with inventory teams to ensure product availability and communicate shortages
- Maintain accurate documentation and approvals for order changes
- Verify order details including pricing, part numbers, contact and delivery information, and quantities
- Partner with internal teams to resolve order-related issues and improve fulfillment processes
- Ensure compliance with company policies, trade regulations, and data privacy standards
- Conduct quality checks and self-audits to minimize errors
- Troubleshoot and escalate complex order issues as needed
- Support shipping, import, and export documentation requirements
Qualifications
- High School diploma required; 2–4 year degree preferred
- 2–5 years of experience in order administration, sales support, or a related field
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
- Advanced problem-solving and critical-thinking abilities
- Experience with ERP systems preferred
- Familiarity with Salesforce CRM and other relevant software applications
- Proficiency in Google Chrome, Gmail, Google Apps, Microsoft Office, and Data Load tools
- Multilingual skills and global tax/export experience are a plus

- External partners including customers, resellers, joint ventures, and freight carriers

- Import/export and shipping operations
- Embedded support for business divisions
- Identifying and escalating process/system issues
