Marketing and Events Coordinator
- Plan, coordinate, and execute in-person events (tradeshows, conferences, networking functions), handling venue contracting, logistics, and on-site management including setup, troubleshooting, and teardown.
- Manage virtual events (webinars, hybrid sessions), including platform setup, speaker coordination, registration, attendee check-in, and interactive elements.
- Collaborate with the Director of Marketing to develop and implement event marketing strategies and promotional campaigns (email, social media, partner promotions).
- Develop and manage event budgets; negotiate with vendors to secure cost-effective outcomes without compromising quality.
- Coordinate the deployment of event-related email campaigns and social media posts using approved creative assets.
- Host internal pre- and post-event meetings to align teams, review plans, and capture lessons learned.
- Present event recaps, performance metrics, and key takeaways during recurring team meetings and larger internal calls.
- Track event metrics-attendance, leads, engagement, feedback-and analyze data for post-event evaluation and ROI reporting.
- Ensure legal, safety, and compliance requirements for venues and virtual platforms are met.
- Coordinate with external stakeholders (vendors, sponsors, partners) and internal teams (sales, creative, product) to align messaging and event goals.
- Work cross-functionally across multiple companies, stakeholder groups, and priorities, while effectively juggling competing deadlines and deliverables.
- Maintain logistical timelines and project deliverables in project management tools (e.g., Asana) to ensure deadlines are met.
- Travel as needed to attend events and network; represent Arctic IT professionally.
- Monitor industry trends and platforms to innovate future event experiences and maintain a competitive edge.
- Perform other duties as assigned.
- Bachelor's degree in Marketing, Communications, Business, or related field preferred; or equivalent relevant work experience.
- 2-4 years of experience in event coordination, marketing, or related field (experience in technology or B2B industry a plus).
- Proven track record of managing both in-person and virtual events.
- Experience with lead management and event reporting in CRM systems (e.g., Salesforce, HubSpot).
- Proficiency with virtual event platforms (e.g., Zoom Webinar, GoToWebinar, Microsoft Teams, or similar).
- Proficiency in project management tools such as Asana, Monday.com, or Microsoft To Do.
- Experience with event management platforms (e.g., Eventbrite, Cvent, Bizzabo) and marketing automation tools (e.g., Mailchimp, HubSpot).
- Familiarity with compliance needs, including permits, health, and safety requirements.
- Proficiency with MS Office and/or Google Workspace; familiarity with event or project management software.
- Experience in vendor management and contract negotiation.
- Experience promoting events via social media platforms.
