Parts manager / service advisor
The Opportunity
We are a family-owned specialty BMW car dealership, auto repair & restoration facility, and auto body business dedicated to quality service and high-performance vehicles. We are seeking an experienced, meticulous, and results-driven Parts Manager to lead our parts department.
This is a critical, hands-on role responsible for ensuring all departments—Sales, Service, and Body—have the correct parts inventory at the right time, while maintaining high profit margins and strict inventory control.

Key Responsibilities
The Parts Manager is responsible for all aspects of parts operations, from procurement to inventory management, dispatching associated parts to the appropriate technician as needed, and customer service responsibilities to our long-term clients. This is hybrid position with some client facing responsibilities that would require day-to-day communications giving you an opportunity to explore a variety of tasks and responsibilities.
Inventory Management & Control
- Procurement: Research, source, and purchase parts, materials, and supplies for the Service, Body Shop, and Sales departments.
- Inventory Accuracy: Maintain perpetual inventory records, perform weekly cycle counts, and conduct scheduled physical inventories to ensure near-100% accuracy.
- Receiving & Issuing: Oversee the receiving, logging, storing, and issuing of all parts, ensuring proper tracking to specific repair orders (ROs) and internal sales.
- Obsolescence: Manage and minimize obsolete, slow-moving, and surplus inventory.
- Specialty Parts: Maintain organization and sourcing for parts unique to our specialty vehicles and niche market.
- Dispatching Parts: This staff member will be responsible to have the parts team deliver all associated parts to the appropriate technician as needed.
Financial & Operational Performance
- Profitability: Monitor gross profit margins on parts sales and implement pricing strategies to maximize revenue across all departments.
- Returns: Efficiently manage all parts returns to vendors and ensure timely credit processing.
- Warranty: Oversee the parts warranty process, ensuring all claim documentation is accurate.
- Shipping/Receiving: Coordinate freight, shipping, and delivery logistics for incoming and outgoing parts.
Team & Customer Service
- Shop Support: Work closely with technicians, service advisors, and the body shop estimator to ensure timely and accurate part delivery for all jobs.
- Vendor Relations: Negotiate pricing, terms, and delivery schedules with various parts vendors and suppliers.
- Customer Service: Handle parts inquiries from retail customers and wholesale accounts, providing accurate estimates and exceptional service.
Qualifications and Requirements
Must-Haves
- Proven experience (2+ years required) as a Parts Manager, Assistant Parts Manager, or Lead Parts Counterperson, ideally within an automotive dealership environment.
- Deep knowledge of automotive parts, terminology, and inventory control best practices.
- Proficiency with Dealer Management Systems (DMS) and/or dedicated Parts Inventory Software.
- Excellent negotiation, communication, and organizational skills.
- Ability to lift heavy objects and work in a physically demanding environment (shipping/receiving).
Highly Preferred
- Experience sourcing and managing inventory for both a Mechanical Service Shop and an Auto Body/Collision Center.
- Familiarity with QuickBooks or similar accounting software for reconciliation purposes.
- ASE certification or formal BWM technical training is a plus.
