We are looking for an organized, energetic, and detail-oriented Office Coordinator / Bookkeeper to serve as the heartbeat of our office. This dual role bridges administrative excellence with fundamental accounting work, serving as the first point of contact for our valued clients and a vital support mechanism for our production team.

Key Responsibilities
Office Coordination & Client Relations (Approx. 70%)
- First Impressions: Greet clients warmly upon arrival, manage incoming phone calls, and respond to general email inquiries with a professional, helpful attitude.
- Administrative Support: Manage physical and electronic mail, coordinate office calendars, order supplies, and maintain a clean, organized reception and common area.
- Client Onboarding & Intake: Help assemble tax organizers, gather client financial source documents, scan and organize paperwork securely into our digital database, and schedule client pick-ups/deliveries.
- Workflow Tracking: Monitor internal project tracking systems to ensure client deliverables are moving smoothly through the pipeline and assembly phases.
Bookkeeping & Financial Services (Approx. 30%)
- Accounts & Reconciliation: Perform routine bookkeeping functions for the firm and a designated portfolio of small-to-midsize business clients. This includes recording daily transactions and reconciling bank/credit card statements.
- Ledger Maintenance: Keep the general ledger accurate, assist with journal entries, and ensure accounts payable and accounts receivable activities are handled timely.
- Payroll & Compliance Support: Assist with routine client payroll processing data entry and help gather details needed for monthly, quarterly, and annual compliance filings.
- Financial Reporting: Help assemble routine financial statement drafts, reports, and tax document packets under the direction of our CPAs.
Requirements & Qualifications
- Experience: Minimum of 2–3 years of professional experience in an administrative office role, with at least 1–2 years of dedicated, hands-on bookkeeping experience. (Prior experience working within a CPA firm or accounting environment is highly preferred).
- Education: High School Diploma or equivalent required; an Associate’s or Bachelor's degree in Business, Accounting, or a related field is a strong plus.
- Software Proficiency: Experience with small business accounting platforms (such as QuickBooks) and strong overall tech-savviness. Daily fluency in Microsoft Office (Excel, Word, Outlook) is required.
- Skills: Exceptional organizational skills, laser-focused attention to detail, strong verbal and written communication, and the ability to maintain absolute confidentiality regarding sensitive client financial data.
- Location: Ability to work full-time on-site at our Toledo, Ohio office.

- Hours: Regular operational hours are Monday through Thursday, 9:00 AM – 5:00 PM, and Friday, 9:00 AM – 2:00 PM (Note: Seasonal flexibility/extended hours may be necessary during peak tax season deadlines).
