Billing Administrator with general accounting knowledge

Main Sail, a nationally recognized IT consulting organization serving public and private sectors, seeks a friendly and outgoing person for full or part-time work as a critical member of our 4-person administrative and accounting team. An ideal candidate is someone that is independent, responsive, and detail-oriented, as well as shows evidence of a range of diverse skills that help support core operating functions of a small business.

Responsibilities May Include:

• Monitor, approve and import weekly timecards for consultants and employees
• Generate bills and invoices specific to customer accounts
• PO and contract monitoring and compliance
• Manage customer relationships and questions as a primary contact
• Contractor point-of-contact for using timekeeping systems and submitting expense reports
• Reconcile customer payments with accounts
• Follow up on delinquent accounts receivable
• Process accounts payable
• Code and enter expense reports, ensuring FAR compliance
• Internal process auditor for ISO 9001:2015
• Management of a VMS temp hire program and database management for a specific client
• Onboarding and offboarding new hires
• Minor journal entry or bookkeeping duties as needed
• Sales-by-State annual report preparation
• Weekly and monthly reporting
• Cross-train with other team members to provide back-up support
• Support Administrative and Management team members as needed

Qualifications:

• Minimum 5 years of experience in accounting or administrative functions
• Quickbooks experience preferred
• Someone that gives extreme attention to detail and likes being in the nitty-gritty of timecards and billing details
• Strong knowledge application skills to independently resolve special situations
• Ability to multi-task and micro-task in an effective manner
• Ability to collaborate effectively with team members
• A patient customer service attitude
• Excellent organizational skills
• Self-starter that can organize themselves and will always give quality work
• Ability to be flexible and adapt to change
• Systems used: Microsoft Office/Teams/Sharepoint, Outlook, EFaact, JobDiva, Quickbooks, TimeLive
• Associates or Bachelors degree preferred but relevant work experience will be given highest priority of consideration
• Full-time preferred but part-time requests will be considered with minimum of 20 hours/week. We offer a flexible work schedule that is part-time on location in our Chesterland office, requiring a minimum of 9 am-1 pm Tuesdays and Thursdays in the office with our team
