The Role
Ahola PayrollHR Solutions is seeking a highly organized, detail-oriented Sales Administrator to support our Sales and Marketing teams and optimize sales operations. This role serves as the administrative and systems backbone of the Sales function, ensuring accuracy, efficiency, and consistency across the sales lifecycle-from prospect through client handoff.
Reporting to the Vice President of Sales, the Sales Administrator partners closely with HCM Consultants , Marketing, Implementation, and Client Success to coordinate new client onboarding documentation, manage HubSpot processes, maintain CRM data integrity, support sales enablement initiatives, and assist with targeted marketing efforts and events.
Sales OperationsAdministrative Support
- Provide day-to-day administrative support to Sales Management and HCM Consultants.
- Assist HCM Consultants with collecting, reviewing, and submitting all required new client paperwork and onboarding documentation.
- Ensure timely, accurate handoff of completed sales documentation to Implementation and Accounting
- Serve as liaison between HCM Consultants and Implementation to resolve missing or incomplete documentation.
- Track sales activity, pipeline status, deal progress, and quotas to support forecasting and reporting.
- Prepare weekly sales updates and materials for sales meetings (revenue, deals, quota attainment, FTAs)
- Track sales contests and incentives; provide updates to Sales Leadership.
- Support special projects related to sales growth, reporting, and technology adoption.
CRMHubSpot Administration
- Serve as the HubSpot Administrator and Super User for the Sales team.
- Maintain CRM data accuracy and integrity, including contacts, deals, pipelines, workflows, and referrals.
- Reduce redundancy and improve efficiency in deal entry, deal management, and closing processes.
- Perform ongoing HubSpot cleanup (duplicates, inactive records, incomplete data).
- Create and manage dashboards, reports, templates, sequences, and automation.
- Support HCM Consultants with HubSpot usage, best practices, AI tools, and troubleshooting.
- Load and manage prospect lists in HubSpot.
Sales EnablementMarketing Support
- Assist with creation of sales slide decks, executive summaries, and sales materials.
- Coordinate with Marketing on targeted sales campaigns, templates, and sequences.
- Support key account and referral marketing initiatives.
- Maintain and distribute up-to-date sales and marketing materials; manage inventory.
- Collaborate with Marketing on sales events, tradeshows, partner events, and client meetings.
- Assist with planning and logistics for seminars, client outings, conferences, and internal sales events.
- Support social media and digital marketing initiatives as assigned.
Process ImprovementCollaboration
- Partner with Sales Management on CRM enhancements, documentation, and process improvements.
- Help standardize and document sales workflows, procedures, and best practices.
- Identify opportunities to reduce friction, improve efficiency, and enhance the client experience.
- Collaborate cross-functionally to ensure alignment between Sales, Marketing, Implementation, and Client Success.
- Maintain the highest level of professionalism and confidentiality when handling sensitive information and in direct client-facing interactions.
