Otterbein University is seeking a detail-oriented and organized individual to join our team as a Student Affairs Administrative Coordinator . In this role, you will provide crucial administrative support to the Vice President for Student Affairs and the Dean of Students. Your responsibilities will encompass maintaining calendars, managing internal communications, assisting with budgeting and accounts payable processes, handling external information requests, and coordinating correspondence within the Student Affairs Division. JOB RESPONSIBILITIES
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Provides Administrative Support for Vice President for Student Affairs (VPSA) and Dean of Students - maintains the following for both the VPSA and Dean of students: calendars, internal communication support, manages external requests for information and coordinates correspondence to the Student Affairs Division, manages chrome river and other accounts payable processes. Provides financial assistance for the Division of Student Affairs - serves as a liaison, informs and assists departments with accounts payable processes and policies; assists VPSA with division budget management; reviews department budgets with individual directors as needed. Tracks and acknowledges financial gifts to the division. Student Conduct Responsibilities - Coordinates Student Conduct and Appeal Council meetings, notifies committee members, schedules and attends meetings, takes the minutes and prepares decision letters to students and parents when appropriate. Prepares end-of-term and annual student conduct reports. Manages confidential student conduct records. Monitors status of educational sanction completion. Assists with annual student conduct training for Appeals and Student Conduct Councils, and Residence Life staff. Health Care Management/Title IX/Wellness Responsibilities -Assists with design and distribution of promotional materials for Wellness events and researches suggested topics as needed. Provides support for Title IX initiatives including programs, policy promotion, and on-line education for new students. Maintains records for on-line training program for new students. Oversees the collection of data and processing of new student health forms. General Administrative Responsibilities - Provides support to the Student Affairs departments as needed. Oversees office operations, including the training and mentoring of student assistants. Handles telephone inquiries, manages incoming mail, and warmly welcomes students, faculty, staff, and visitors. Publications - Updates Student Affairs publications including but not limited to the annual update of the Campus Life Handbook and the Division Annual Report.. SUPERVISORY RESPONSIBILITIES: N/A
QUALIFICATIONS

EDUCATION and/or EXPERIENCE: Associate's or Bachelor's degree or equivalent and a minimum of two (2) years of related experience is preferred. CERTIFICATES, LICENSES, REGISTRATIONS: N/A LANGUAGE SKILLS: Must demonstrate competency in verbal and written English skills including grammar. Ability to establish and maintain effective working relationships in an academic environment. MATHEMATICAL SKILLS: Must be competent in general math. TECHNICAL SKILLS: Familiarity with computer systems. Knowledge of general office procedures; must be able to use general office equipment including office PC, copier, telephone, facsimile machine, etc. Must possess excellent customer service skills. Budget experience and experience with organizing and compiling large amounts of data preferred. REASONING ABILITY: Ability to exercise a high degree of initiative, independent judgment and flexibility. Ability to exercise sound judgment in unusual or new situations and in dealing with confidential information. Must possess excellent attention to details; must be a team player and interact collegially with co-workers and other constituencies. Must take pride in and be thorough in quality of work produced.
