Development Operations Coordinator

SUMMARY The Development Operations Coordinator plays a key role in strengthening the Toledo Museum of Art’s relationships with donors through strategic, timely, and thoughtful communication. Reporting to the Director of Development Operations, this position is responsible for developing and coordinating donor-facing communications and stewardship materials that support fundraising goals, deepen donor engagement, and reflect the Museum’s mission, values, and voice. The ideal candidate will be an exceptional communicator, detail-oriented, and highly collaborative. This role works closely with colleagues in Development and Marketing & Communications to ensure consistent, donor-centered messaging across campaigns, acknowledgments, reports, and recognition materials.
KEY ACCOUNTABILITIES Donor Acknowledgments & Stewardship
- Draft, edit, and manage a library of donor acknowledgment letters and gift messaging.
- Partner with Development colleagues to ensure timely and accurate delivery of personalized donor acknowledgments.
- Assist in developing tailored stewardship language for major donors and campaign contributors.
- Draft and edit donor-centric content for reports, proposals, brochures, one-pagers, and event collateral.
- Support the development of campaign-related materials and messaging frameworks.
- Contribute to donor newsletters, updates, and recognition features.
- Assist in compiling donor impact stories, campaign highlights, and stewardship content for use in reports and other storytelling formats.
- Coordinate and proof donor recognition lists for publications, reports, and signage.
- Maintain accurate records for donor listing preferences and name formats.
- Partner with Development Services to ensure data integrity across lists.
- Draft and distribute donor event invitations and follow-up emails.
- Manage event-related communications calendars and ensure timely delivery of all materials.
- Track and manage RSVPs for donor events and assist in preparing guest lists and name badges.
- Serve as a liaison between Development and Marketing & Communications on shared deliverables.
- Work closely with development officers to capture donor impact stories and reporting needs.
- Assist with internal messaging and preparation for fundraising events and stewardship touchpoints.
- Provide administrative support and assist with special projects across the Development department, as needed.
RELATIONSHIPS Reports to the Director of Development Operations. Collaborates closely with Development colleagues, including major gift officers, stewardship, operations, and events staff. Coordinates with Marketing & Communications, Visitor Services, and institutional leadership as needed.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in communications, English, marketing, nonprofit management, or a related field.
- Minimum 2 years of experience in fundraising, communications, or donor relations, preferably in a nonprofit or cultural institution.
- Proven writing and editing skills with strong attention to detail.
- Experience with CRM systems (Raiser’s Edge or similar) preferred.
- Familiarity with donor engagement principles and campaign communications a plus.
- Exceptional Writing & Editing: Clear, engaging, and adaptable across formats and audiences.
- Donor-Centered Thinking: Understands the donor journey and tailors messaging accordingly.
- Project Coordination: Manages multiple priorities with efficiency and follow-through.
- Collaboration: Works well across teams with professionalism and positive energy.
- Data Accuracy: Maintains high standards for name formatting, lists, and recordkeeping.
- Discretion & Confidentiality: Handles sensitive donor information with care.
- Mission Alignment: Passion for the arts and belief in the power of philanthropy to advance TMA’s work.
