Portfolio Compliance Coordinator

As the Portfolio Compliance Coordinator, you will report directly to the Senior Portfolio Manager (SPM) and assist to ensure optimal performance and accurate reporting for assets in the portfolio. This position will initiate and ensure all policies and procedures pertaining to the New Property Checklist, New Tenant Checklist, Lease Abstraction, Aged Delinquencies, Tenant Closeout, etc., are adhered to within the property portfolio. Additionally, you will act as a liaison between the Sr. Portfolio Manager (SPM), Property Manager (PM), and Property Accountant, ensuring compliance with various tasks/projects, such as Budget preparation, Internal Capital approval forms, Workflow, etc.
Responsibilities:
- Collaborate with the SPM to ensure all PMs in the portfolio are maintaining the highest levels of accuracy and compliance.
- Help to resolve any compliance issues and take steps to improve any inefficiencies.
- Prepare property service contracts and maintain all required paperwork, insurance, etc.
- Support the Lease Administrators in compiling tenant lease required documents.
- Process and maintain all welcome packages (letters, team sheets, tenant improvement contact forms) sent to new tenants.
- Coordinate the tenant close-out checklist and confirm the accuracy of information.
- Organize all real estate tax appeals for the portfolio and maintains all necessary documents.
- Track open projects and the completion of tasks assigned to the PM, litigation, tax appeals, etc.
- Initiate the monthly aged delinquency process, analyze delinquent accounts, and prepare reports on the highest risk accounts, including recommendations for resolution for the portfolio.
- Work with the PM, Lease Administrator, and Accounts Receivable on the resolution of any billing issues.
- Work with the PM and Property Accountant regarding verification and approval of all annual true-ups.
- Manage the shared drive documents and ensure all files are complete and follow the guidelines of the New Document Filing Cross Reference.
- Assist with additional responsibilities as assigned by the SPM.
- Allocate time to help direct reports perform effectively by managing, leading, and coaching.
Skills & Attributes :
- Minimum of five to seven years in commercial real estate, preferred focus in property or asset management.
- Advanced level of proficiency in Word, Outlook, and Excel.
- Ability to handle a fast-paced, deadline-driven environment.
- Ability to multi-task and prioritize assignments while delivering consistent, quality work products.
- High level of attention to detail and accuracy.
- Ability to work well with others.
- Strong analytical and communication skills.
- MRI and Property Management experience is a plus, but not required.
