Russell Tobin is seeking an Order Administration Support Specialist for our client—an industry-leading American software, hardware, and services technology company .
In this role, you’ll be a key contributor in the quote-to-cash process, ensuring customer orders are processed accurately and efficiently while maintaining compliance and exceptional customer satisfaction. You will collaborate closely with cross-functional teams in sales, logistics, finance, and customer service to ensure seamless order execution and fulfillment.
Order Administration Support
Location: Dayton OH (Onsite)
⏳ Duration: 6 Months Contract
Pay Rate: $24.00 – $25.00/hour
Key Responsibilities
- Advanced Order Processing: Accurately process customer orders received through multiple channels including email, phone, and online portals.
- Sales Quote Support: Assist sales teams with advanced-level quotes, ensuring pricing accuracy and proper conversion of quotes to orders.
- Order Tracking & Communication: Monitor order statuses and proactively communicate updates or delays to customers and internal teams.
- Customer Support: Handle customer inquiries regarding order status, software provisioning, shipment, and product availability.
- Inventory Coordination: Collaborate with global distribution and inventory teams to manage product availability and address shortages.
- Documentation & Quality Control: Maintain up-to-date order documentation and verify pricing, part numbers, and delivery details.
- Cross-Functional Collaboration: Partner with compliance, logistics, revenue, and finance teams to resolve order-related issues and improve processes.
- Compliance & Quality Assurance: Ensure adherence to company policies, trade regulations, and data privacy standards.
- Troubleshooting: Identify and resolve complex order issues, escalating as necessary.
- Shipping/Export Support: Assist with shipping, import/export, and related documentation when required.
Qualifications
- Education: High school diploma required; Bachelor’s degree in Business Administration, Supply Chain, or related field preferred.
- Experience: 2–5 years of experience in order administration, sales operations, or customer support roles.
Technical Skills:
- Experience with top-tier ERP systems and Salesforce CRM preferred.
- Proficiency with Google Workspace (Gmail, Sheets, Docs) and Microsoft Office Suite .
- Soft Skills:
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication abilities.
- Proven problem-solving and multitasking abilities in a fast-paced environment.
Additional Pluses:
- Global Tax/VAT or export compliance experience.
- Multi-lingual skills for global coordination.
