Admin Assistant to Caseworkers
RESPONSIBILITIES: Responsible for assisting Caseworkers, Program Coordinator and program staff with administrative duties, including duties related to urine drug screen ordering, collection and tracking. Also responsible for tracking information related to web-based randomized call in system for client urine drug screening.
SHIFT: Monday- Friday 9-5pm, One Late Night per Week, Possible Saturday per Month
Essential functions of this job include, but are not limited to:
- One of the MAIN duties: Conducts urine drug screen collections accurately and enters them in ORION in accordance with Agency policies and procedures
- Properly orders, closes, and classifies urine drug screens in ORION.
- Completes accurate data entry to include, but not limited to: client logs, violation reports, alco-sensor tests and urine drug screens.
- Faxes and/or emails urine drug screen results to referral sources in an accurate and timely manner.
- Disseminates urine drug screen results to staff in an accurate and timely manner.
- Follows up with corrections of any errors found in ORION or other computerized records.
- Creates a tracking system using Microsoft Excel or other software applications. Assists with the accurate, on-going recording of data into the tracking system including, but not limited to: Caseworker deadlines, compliance issues, audit requirements, referral information, etc.
- Assists with the maintenance of client records/files in an accurate and organized manner.
- Prepares and distributes necessary reports for case management in an accurate timely manner.
- Maintains spreadsheets for cognitive skills classes for clients. Notifies Caseworkers and/or facilitators of client start dates for classes.
- Assists case management and program management staff with preparation for program audits and with routine case file audits.
- Answers requests for information from community resources and referral agencies in a timely and accurate manner after verifying that a valid release of information is on file.
- Mails and/or faxes correspondence, reports, and other documents as necessary in an accurate and timely manner.
- Assists Caseworkers with uploading documents into ORION, filing, and closing files in a timely and accurate manner.
- Issues accurate receipts for fee payments received from clients. Maintains accountability of payments and secures same in facility safe.
- Meets with clients on an as-needed basis. Documents meetings as necessary in an accurate and timely manner.
- Effectively communicates pertinent information and emergency situations to coworkers and/or program management staff in a timely manner.
- Provides coverage of main reception desk (incoming phone calls, client sign ins, administration of alcohol tests, etc.) as needed and/or directed.
QUALIFICATIONS: High School diploma or equivalent required. Six (6) months clerical experience preferred. Must have proficient computer skills (Microsoft Word, Excel, and ORION). Excellent accuracy and organizational skills required. Must possess excellent verbal and written communication skills and be detail-oriented. Must possess reliable transportation, a valid Ohio driver's license and a driving record that does not preclude the employee from being covered by Agency liability insurance. Must have the ability to effectively work with Agency employees, outside contacts, and a diverse client population.
