Front Desk/Plant Admin Associate

Working for our team, you can truly make a difference. We are currently looking for a Front Desk/Plant Admin Associate. Responsibilities:- Order and stock all conference rooms with drinks, snacks, and supplies needed for meetings/guests. (at times this includes the corporate auditorium and corporate board room)
- Welcome each customer, supplier, vendor, and visitor to the plant. Contact the MCC representative to inform them that their appointment has arrived.
- Assist with planning plant events and large corporate events. (ex, breakfast with Santa, holiday luncheons including night shift, packing college, sales events, VSA, VSM, GM Events, etc.)
- Ensure all breakrooms are clean, well-organized, and stocked daily.
- Manage catering for the plant. Ordering, setup, and clean up. For some visitors, this may also include making coffee and supplying breakfast and lunch.
- Manage all conference rooms via Outlook.
- Schedule all interviews in the conference room for the specified interview team.
- Distribute incoming USPS and UPS deliveries & prepare outgoing USPS and UPS packages.
- Submit all office supply orders for the entire plant and maintain stock for office and production teams.
- Manage company uniforms and tracking system. (This includes rugs from the same vendor.)
- Manage the badge security system. (enter and remove fobs as instructed)
- Responsible for all guests/visitors during emergencies. (This is managed through the sign-in book.)
- Create new-hire folders for the HR team.
- Assist in making travel arrangements for teammates and the leadership team, as well as managing the direct billing for rental cars.
- Misc projects as assigned by the GM and HR team.
- Support the Management team in preparing a monthly PowerPoint presentation for all employee meetings.
- Other duties as assigned
- High school diploma or equivalent required. Associate's degree preferred.
- Minimum 7 years of receptionist/administrative assistant experience.
- Minimum 7 years of event/meeting preparation.
- Professional dress and demeanor.
- Confidentiality in all matters is a must.
- Self-starter with the ability to juggle multiple tasks.
- Basic understanding of clerical procedures and systems, such as recordkeeping and filing.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Experience with Microsoft Suite, including Microsoft Outlook, Excel, Word, and the ability to learn computer programs.
- Excellent organizational skills and attention to detail.
- Ability to work independently.
- Ability to work prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds at times.
