Job Summary:
The Front Office Administrative Assistant serves as the first point of contact for students, parents, faculty, and visitors at our vibrant Jewish day school. With over 600 students from Early Childhood through High School, this role requires an individual who is highly organized, warm, professional, and able to manage multiple responsibilities in a fast-paced educational environment.
This role is crucial in maintaining a welcoming and secure and safe environment while providing essential administrative support to the business office and broader school community.
Key Responsibilities: Front Desk & Visitor Management:
- Greet all visitors, families, and students with warmth and professionalism
- Answer and direct incoming calls and emails in a courteous and efficient manner
- Enforce and manage security policies and procedures
- Issuing and organizing parent badges
- Ensuring all parents and visitors comply with school's security procedures
- Monitor school entrance and communicate with security personal in the event of unauthorized entrance
- Enforce visitor policies
- Provide timely and accurate information about school programs, events, and schedules
- Assist as needed with arrival and dismissal of students
Administrative Support:
- Manage general office operations including mail, deliveries, supplies, and copier/printer use
- Provide support to office staff, including preparing documents, copying, data entry, and filing
- Manage office supply inventory and place orders to ensure essential materials are always available.
- Support the upkeep and organization of the shared office space, ensuring a tidy and functional work environment.
Student and Parent Interaction:
- Serve as liaison between families and faculty/staff, ensuring excellent communication
- Help coordinate early dismissals, late arrivals, and transportation changes
- Provide minor first aid to students when the nurse/ administrative assistant is unavailable and contact parents as necessary
Qualifications:
- High school diploma or equivalent is required; associate's degree or bachelor's degree highly desired.
- No prior experience in a school or office setting is required.
- Strong interpersonal and communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite, Google Workspace.
- Commitment to confidentiality and discretion.

Work Schedule:
- Monday through Thursday, 7:30 AM - 4:30 PM & Fridays 7:30 AM - 2:30 PM
- 38 hours a week with 1 hour lunch break
