Position Summary: The Payroll Assistant supports the Payroll Supervisor and Payroll Coordinators with preparing, reconciling, and processing weekly payroll for employees in both the United States and Canada, using UKG Pro software. This role supports the accuracy, compliance, and timely execution of payroll tasks in a collaborative team environment.
Essential Duties and Responsibilities:
- Verify all timesheets and wage changes are approved prior to payroll start.
- Collect, calculate and enter payroll data in UKG Pro.
- Assist Payroll Supervisor and Payroll Coordinators in processing weekly payroll in a timely manner.
- Support auditing and reconciling payroll weekly, under the direction of the Payroll Supervisor and Payroll Coordinators.
- Respond to employee payroll inquiries and manage messages in the shared Payroll email inbox.
- Distribute HR department correspondences.
Experience and Minimum Qualifications:
- High school diploma or equivalent.
- 6 months to 2 years of payroll, bookkeeping, administrative, or related experience in a medium to large sized organization.
- Proficiency using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Project, and/or Access).
- General math and reporting skills.
- Ability to maintain employee confidence and handle sensitive employee data appropriately.
- Must be legally authorized to work in the country of employment without sponsorship for employment visa status (e.g., H1B status).
Preferred Knowledge, Skills, Abilities or Certifications:
- Familiarity with payroll best practices, including multi-state and Canadian payroll.
- Knowledge of federal/state payroll related regulations.
- College coursework and/or degree.
- Knowledge of UKG/UltiPro HRIS system.
Travel Requirements:
- No travel required.
Overtime/Additional Hours Requirements:
- Overtime may be required, particularly on payroll processing days (typically Wednesdays), and during periods of high volume or deadlines.
Physical Requirements:
- Normal office environment.
- Performs indoor work in a climate-controlled environment.
- Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
