About the Role:
As a CBRE Facilities Coordinator, you will serve as the primary on-site representative for CBRE at a 150,000-square-foot manufacturing facility located in Medina, Ohio. Your responsibilities will include ensuring operational efficiency, overseeing the completion of work orders, and providing exceptional customer service. This position requires strong organizational skills, proactive communication, and the ability to work independently while collaborating effectively with the onsite technician and external vendors.
Additionally, the role involves supporting the onsite technician through hands-on assistance as needed, which may include minor physical tasks alongside your administrative responsibilities.
What You'll Do:

Work with landlords, technicians and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.

Monitor activities that happen outside the building, such as proper waste disposal and recycling.

Coordinate vendor activities, including scheduling services, escorting vendors onsite, and verifying completion of work.

Manage maintenance schedules and prioritize tasks based on urgency and operational needs.

Communicate with clients and vendors via phone and email to provide updates, check statuses, and coordinate scheduling.

Collect information reports to find out performance and progress status.

Respond to common inquiries or complaints from clients, co-workers, and supervisors.

Prepare and process purchase orders; assign work orders to technicians and vendors as needed.

File work orders, proposals, department files, and other paperwork submitted by vendors.

Acknowledge all client inquiries and collect work orders.

Deliver exceptional customer service as the primary CBRE representative onsite.

Collaborate with onsite technicians on various tasks and projects to ensure smooth operations.

Utilize Microsoft Office tools (Teams, Outlook, Excel) for communication, documentation, and task management.

Follow instructions, short correspondence, and memos and ask clarifying questions.

Perform minor facility support duties, including assisting with HVAC and air compressor repairs, relocating furniture, conducting fire extinguisher inspections, and changing filters.

Ensure compliance with safety protocols and operational standards at all times.

Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

Impact through clearly defined duties, methods, and tasks are described in detail.

Deliver own output by following defined procedures and processes under close supervision and guidance.
What You'll Need:

High School Diploma or GED with up to 2 years of job-related experience.

Ability to follow basic work routines and standards in the application of work.

Communication skills to exchange straightforward information.

Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

Strong organizational skills with an inquisitive mindset.

Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.

The minimum salary for the Facilities Coordinator position is $50,000 annually [or $24.04 per hour] and the maximum salary for the Facilities Coordinator position is $60,000 annually [or $28.85 per hour]. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
