Starting Salary: $57,000 - $60,000
Job Summary:
Reporting to the Minister of Care and Older Adults, the Administrative Assistant will provide administrative and organizational support for the day-to-day operations of the office of Membership, Care and Parish Life (MCPL). In addition to completing traditional administrative tasks, this individual will provide enthusiastic, hands-on support at key MCPL events throughout the year. This individual will demonstrate an appreciation for the mission and vision of The Riverside Church, with the maturity and ability to interact positively with a diversity of congregants, guests, and staff, and to maintain discretion and confidentiality on sensitive matters. The successful candidate will possess a high degree of professionalism and attention to detail, with the ability to independently complete tasks and to work collaboratively within a dynamic team environment.
Essential Job Responsibilities:
- Helps coordinate the Minister of Care and Older Adult's complex meeting and programming schedule and prepares necessary materials and follow-up documents.
- Welcomes guests, in person and on the telephone, and serves as the principal public- relations ambassador for the MCPL office, answering, directing, and prioritizing inquiries and requests as needed.
- Creates an office environment that is sensitive and responsive to the needs of The Riverside Church's varied constituencies.
- Provides administrative support for complex, deadline-driven projects, including: assisting with preparation of correspondence and materials; tracking and processing reimbursements and expenses; compiling documents and materials in preparation for meetings; copying, scanning, and printing documents.
- Participates actively in organizational initiatives and projects. Assists in planning, implementation, and coordination of special events as assigned.
- Provides hands-on assistance at key MCPL events, including the monthly Older Adult Ministry in-person luncheons, as well as occasional Zoom programs
- Coordinates room reservations and bookings for department meetings and programs, including tracking and managing RSVPs when needed.
- Processes financial paperwork—e.g., check deposits, payment authorizations, and petty cash requests—in a timely fashion.
- Maintains electronic files, databases, and mailing labels.
- Purchases and maintains supplies; arranges for equipment maintenance.
- Manages the clergy on-call rotation and the weekly church-wide prayer list, as well as tracking pastoral requests.
- Assists with the design, assembly, and distribution of Older Adult Ministries newsletter and other departmental mailings.
- Ensures MCPL programs appear on church calendars and are properly promoted, working closely with the Communications Department and other necessary staff.
- Assists the Associate Director of Membership & Volunteer Engagement with general administrative tasks and special projects.
- Routinely analyzes and evaluates workflows to ensure maximum efficiency.
- Performs other related duties as assigned.
Experience and Education Requirements:
- Bachelor's degree preferred but not required
- 2-5 years of experience or an appropriate blend of related experience and education.
- Ability to anticipate schedule demands, make quick decisions, and act with poise under pressure.
- A pleasant, professional demeanor and the ability to interact effectively with a wide variety of people.
- Ability to handle sensitive and confidential information with integrity, tact, and discretion.
- Ability to offer the highest level and response to personnel at all levels.
- Strong interpersonal skills; proven capacity to communicate verbally and in writing at a sophisticated level. Including letter and report writing, minute-taking, proofreading, etc. Writing samples may be requested during interview process.
- Flexibility and the ability to manage multiple concurrent projects with varying deadlines.
- Fluent in the use of Microsoft suite of products including Word, Excel, Power Point, and Outlook, as well as Zoom
- Familiarity with Raiser's Edge or another database software is helpful.
- Strong critical thinking and problem-solving skills.
- Candidates must have the flexibility to work extended hours when required.
Schedule: Monday-Friday, with occasional Sunday work
