Feeding Medina County (FMC) is a 501(c)(3) nonprofit that focuses on ending hunger and food insecurity in Medina County. Our mission is to Nourish our Neighbors in Need. Our vision is a Medina County where everyone has enough to eat. We operate programs county-wide that impact anyone at risk of hunger. FMC is the largest food pantry in Medina County. Over the last five years our impact has increased by over 400%. We feed 4,000 of our neighbors every month. At Feeding Medina County we believe that no one should endure hunger because of their circumstances.

We’re looking for someone who is passionate about our cause, dependable, highly-organized and people-centered to join our team as our Office Manager. You’ll work in a dynamic and fast-paced environment to perform general office responsibilities to ensure the smooth operation of our office and accurate financial management. This is a part-time position; 18-22 hours / week, on-site three to four days per week.

The Office Manager is responsible for accounting, data entry, inventory management, and serves as the face of the organization by welcoming guests and serving emergency pantry clients. This is a multi-faceted role that combines essential administrative oversight with bookkeeping responsibilities and client service. The ability to manage multiple priorities and engage with individuals of all backgrounds is very important in this role. The Office Manager must have excellent organizational skills, accounting and bookkeeping experience, and be dependable and able to maintain confidentiality for our clients and our donors

Primary responsibilities include:

  • Perform front desk and general office function responsibilities, including, but not limited to: answering phones, greeting volunteers, guests, sorting mail, filing, copying,
  • Oversee accounts payable and receivables, including maintaining reports and spreadsheets, preparing and making bank deposits, processing invoices and payment requests, and paying bills
  • Record and track various forms of data, including donors, donations, grants, and food distributions
  • Work with the bookkeeper to provide monthly financial reports, food inventory reporting, and food distribution activities
  • Record donations in QuickBooks and donor management software
  • Ensure filing systems are up to date, both paper and electronic
  • Keep files and records confidential, organized, and secure

Essential Job Functions and Responsibilities:

  • Serve as the primary front desk and general office point person to answer phones, welcome guests, assist emergency pantry clients, and oversee financial administration
  • Responsible for accounts payable and receivable, ensure invoices and payment requests are paid on time and accurately recorded.
  • Receive financial contributions, accurately record donations in donor management software
  • Prepare and make weekly bank deposits
  • Receive and maintain records for food donations
  • Prepare and print donation acknowledgement letters and other correspondence
  • Record donations and expenses accurately into QuickBooks
  • Prepare monthly financial reports for bookkeeper, accounting firm, and board of trustees
  • Prepare and print donation acknowledgement letters and other correspondence
  • Handle correspondence, inquiries, and maintain record-keeping spreadsheets
  • Manage third-party donation sites and update with required information
  • Keep files and records confidential, organized, and secure
  • Maintain and replenish office supplies
  • Contact technicians for maintenance and repairs of office equipment
  • Participate in team meetings, strategy sessions, assist all team members with projects
  • Attend board and board committee meetings as requested
  • Assist Emergency Pantry clients as needed
  • Other duties as assigned

Qualifications:

Education and Experience:

  • High School Diploma, GED, or equivalent is required. Associates or Bachelor’s Degree preferred
  • Two to three years of related office and accounting experience
  • Highly proficient computer skills in QuickBooks, Microsoft Excel, Word, including mail merges and web searches, and Outlook. Experience with design programs, such as CANVA a plus
  • CRM database experience preferred

  • Skilled at managing multiple priorities efficiently while remaining organized and meeting deadlines
  • Proven success at multi-tasking while working in a fast-paced environment
  • Excellent communication skills including phone manners, in-person, written, and electronic
  • Strong interpersonal skills, demonstrated by the ability to work with diverse people of all backgrounds, both in and out of the organization.
  • Demonstrated use of sound judgement
  • Ability to work well with and adjust and be flexible to changing priorities and situations
  • Self-starter who can work independently
  • A high attention to detail and strong problem-solving skills
  • Ability to remain organized with and keep track of multiple sources of information
  • A strong sense of urgency, follow-through and diligence, ability to meet deadlines
  • Ability to keep information confidential

Other Essential Abilities:

  • Ability to work collaboratively as part of a team, as well as self-accountability
  • This primarily is an on-site position, working at the FMC warehouse/office in Medina. There may be occasional travel to a distribution site or a partner site in or outside of Medina County. Work from home is limited.
  • Hours will be primarily 8:30 AM to 2:30 PM. Some degree of flexibility is needed for events that occasionally fall outside of those hours
  • Responsive and available for communication after hours, to support volunteers and staff, when needed
  • Compassion for families and individuals experiencing food insecurity
