Business & Operations Manager

Position Summary

Temple Sholom, the most welcoming and growing Jewish congregation in Cincinnati, is seeking a dedicated and highly organized Business & Operations Manager to serve as the hub of our synagogue’s daily life. This pivotal role combines financial and facility operations with administrative support. The ideal candidate is a warm, welcoming professional who can seamlessly transition from balancing budgets and managing vendor relationships to greeting congregants, planning community events, and supporting worship services.

Term, Compensation, and Benefits

  • Term: Beginning as soon as possible
  • Compensation: $55,000-60,000, depending on experience
  • Benefits:
  • While Temple Sholom does not directly offer health insurance, this position provides a $5,000/year health care stipend.
  • Three weeks/year of paid time off.

Key Responsibilities:

Financial Management & Human Resources

  • Supervise the day-to-day financial operations of the Temple Office.
  • Process and approve daily accounts payable, invoices, and expense reimbursements using Bill.com.
  • Manage daily ShulCloud deposits, review weekly spending in QuickBooks, and submit reports to Kesef.
  • Review and process staff payroll twice monthly, and update the Rabbinic Pension Board and Long-Term Disability plan details.
  • Reconcile monthly credit card statements and compile monthly reimbursement requests.
  • Collaborate with the Finance Committee to prepare the annual budget, close out the fiscal year, and present financial reports.
  • Liaise with Kesef in sending 1099s, W-9 files, and congregant annual tax statements.

Operations, Facility & Security

  • Serve as the primary point of contact for the building by answering phones, monitoring the front door, and greeting congregants.
  • Manage relationships and engage in contracts with outside vendors, banks, and third parties.
  • Create quarterly security schedules in coordination with the Blue Ash Police Department and schedule annual emergency training with SAFE Cincinnati.
  • With PRO On Call, troubleshoot technology issues, monitor the back-end Microsoft Admin account, and oversee the phone system.
  • Ensure the facility is clean, coordinate repairs, and maintain inventory for the kitchen and storage rooms.
  • Assist Temple events, including comprehensive prep for the High Holy Days.
  • Prepare physical spaces for classes and meetings, including boardroom and sanctuary setups, and clean up following events.
  • Attend weekly meetings with the Rabbi, staff, and touch base regularly with team members to coordinate upcoming events.

Membership & Community Engagement

  • Process new memberships via ShulCloud.
  • Manage member statements in ShulCloud, answer congregant billing questions, and send necessary adjustments.
  • Partner on fundraising efforts, including the annual Gift of the Heart pledge drive.
  • Prepare weekly ritual materials, including pulling Yahrzeit and Misheberach lists, and sending Yahrzeit reminder emails to congregants.
  • Maintain the internal events calendar.

Required Skills & Tools:

  • Software Proficiency: Experience with database management, QuickBooks, Bill.com, Microsoft Admin, and PayChex.
  • Interpersonal: Ability to interact positively with congregants and other staff.
  • Technical: Basic troubleshooting skills for office tech and building systems.
