Administrative Aide - Economic Development - City of Bedford Heights

SALARY: This position has a pay range of $15.00 to $34.50 per hour based on experience.
STATUS: Full -Time
REPORTS TO: Director, Economic Develop.
GENERAL PURPOSE :
An Administrative Aide to the Director of Economic and Community Development plays a vital behind-the-scenes role in ensuring the department operates efficiently and strategically. This position supports the Director in executing departmental initiatives, assists local residents in connecting with employment opportunities offered by area businesses, and provides support to local businesses in addressing workforce and development needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Good interpersonal skills to work and effectively communicate with job applicants, businesses, employers, and the general public.
- Assist in managing calendars, scheduling meetings, and coordinate logistics for events and public hearings. Prepare agendas, take minutes, draft memos, letters, reports and maintain records.
- Answers the telephone and handles office inquiries.
- Maintain databases of businesses, grant programs, and community contacts.
- Assist with the administration of business incentive programs (e.g., CDBG, HUD, local grants).
- Track metrics and prepare regulatory reports tied to economic development initiatives.
- Help organize and promote business appreciation events and award programs
- Serve as the first point of contact for residents and businesses engaging with the department.
- Respond to inquiries, provide information, and guide stakeholders through city processes.
- Support outreach efforts by distributing flyers, updating websites, and managing social media posts.
- Coordinate logistics for economic development initiatives like corridor revitalization or workforce development partnerships.
- Support branding efforts by helping with civic storytelling materials and promotional content.
- Provide research and prep materials for meetings with developers, nonprofits, and business leaders
- Help gather and analyze census data, zoning maps, and redevelopment plans.
- Assist in managing the city’s Land Bank and vacant parcel inventory.
- Support planning interns or co-op students with assignments and onboarding.
- Performs related duties as required.
DESIRED MINIMUM QUALIFICATIONS:
Education and Experience:
- High school graduate or equivalent experience and/or related education and at least eighteen (18) years of age.
- Valid Ohio Driver’s license.
- Skilled in typing and computer usage.
- Skilled in use of a calculator, CRT terminal, fax, telephone, copier, and other modern office equipment to perform responsibilities
· Prior experience in applicant interviewing, job placement services, and general administrative or secretarial work is preferred.
