Administrative Assistant

Position Summary
The Administrative Assistant provides a wide variety of administrative and clerical support services to an organizational unit, and works under moderate supervision in performing a variety of tasks that require a degree of independent judgment and discretion. This position may assist in the preparation and control of records and reports regarding operations, personnel changes, etc. Administers programs, projects, and/or processes specific to the operating unit served. Duties may be complex in nature and may involve access to confidential information, as well as include normal administrative activities such as typing, scheduling appointments, maintaining supervisor’s calendar, screening calls, etc.
What You'll do as a Administrative Assistant
- Provide administrative support to the site. This includes, but is not limited to: type, copy, collate, distribute, and file internal and external correspondence, reports, meeting materials, agendas, form letters, memos, etc.
- Maintain and update the filing system. Answer/screen telephone calls, address routine questions, take appropriate messages. Open, prioritize, and distribute daily mail. Order and maintain office supplies (staple orders), water and coffee. Assist other departments as necessary.
- Greet visitors using the call button, sign them in, get appropriate safety needs, badges, access and then sign out visitors upon leaving.
- Organize and maintain daily / monthly calendar. Schedule appointments and coordinate arrangements for meetings and conferences.
- Assist various departments in editing / proofing correspondence, presentations, marketing bulletins, etc., for general release.
- Assemble and submit relevant data from files, compile statistics and information as required. Prepare reports, gather and summarize data.
- Organize and maintain files of correspondence, records, etc. and follow up as necessary.
- Receive monthly reports from each report and compile information. Prepare submission to Business Leader to report group status.
- Ordering/keeping printer toner in stock.
- Process invoices for payment, i.e. expenses.
- Handle safety eyewear, Red Wing shoe vouchers, and safety video for new visitors/annually.
- Create, organize and pay POs through Oracle.
- Coordinate meals and logistics for special meetings and events, to include arranging catering, lodging in the local area, air and ground transportation for visitors and guests.
- Other duties as assigned.
The Experience, Skills and Abilities Needed
Required:
- High School Diploma or GED.
- 3+ years of administrative assistant experience.
- Strong typing skills (70-80 wpm) and strong computer skills (Word, Excel, PowerPoint) required.
- Excellent organization, written, and verbal communication skills.
Preferred:
- An Associate Degree in Business or Administrative Sciences is preferred.
- Formal secretarial training preferred.

Skills
Pay range for this opportunity is $45,262.50 - $55,912.50. This position is eligible for bonus participation.
Minimum pay rates offered will comply with county/city minimums, if higher than range listed. Pay rates are based on a number of factors, including but not limited to local labor market costs, years of relevant experience, education, professional certifications, foreign language fluency, etc.
