Position Summary:
The Integrations Specialist, Shared Service role is responsible for supporting the operational, accounting, and system integration needs of newly acquired and existing business units across Exscape Group. This role serves as a key resource for Aspire ERP support, accounting coordination, process standardization, and organizational structure alignment during integrations and ongoing operations.

The position works cross-functionally with Operations, Accounting, HR, and IT teams to ensure systems, workflows, reporting structures, and operational processes are aligned with company standards. This role is highly collaborative and hands-on, requiring strong problem-solving skills, system knowledge, and the ability to support both field and administrative teams.

Key Responsibilities:

1) Integration & Structure Alignment

  • Support onboarding and integration efforts for newly acquired business units.
  • Assist with aligning organizational structures, divisions, service types, cost categories, and operational workflows to Exscape Group standards.
  • Help document legacy workflows and support transition into standardized operating procedures.
  • Coordinate data cleanup, validation, and migration support activities.
  • Maintain integration tracking documentation and support integration readiness milestones.
  • Assist leadership teams with implementation follow-up items and stabilization support following acquisitions or operational transitions.

2) Accounting & Financial Systems Support

  • Partner with Accounting and Finance teams to support integration-related accounting processes and system alignment.
  • Assist with customer setup validation, billing structures, cost coding, vendor alignment, and reporting accuracy.
  • Support data validation efforts related to budgets, contracts, job costing, payroll integration, and financial reporting.
  • Help identify and resolve discrepancies between operational and accounting systems.
  • Assist with month-end integration support activities and reporting needs.
  • Support standardization of financial and operational reporting structures across branches.

3) Systems Support & Aspire Administration

  • Provide day-to-day support for Aspire users across operations and administrative teams.
  • Assist with setup, maintenance, and troubleshooting of Aspire modules including properties, services, routing, scheduling, work tickets, and job costing.
  • Assist with user permissions, system access, and coordination with IT and third-party vendors.
  • Help maintain standardized Aspire structures across all operating branches.
  • Support ongoing system optimization and recommend improvements to workflows and reporting processes.

4) Process Improvement & Operational Support

  • Identify opportunities to improve operational consistency, reporting accuracy, and system efficiency.
  • Support development and maintenance of SOPs, process documentation, and training materials.
  • Participate in continuous improvement initiatives related to systems, integrations, and shared services operations.
  • Assist with implementation and enforcement of standardized operational best practices across branches.

5) Training & Cross-Functional Collaboration

  • Provide hands-on training and support to branch leadership and administrative users.
  • Act as a support resource during operational transitions and post-acquisition stabilization periods.
  • Work closely with Operations, Finance, HR, and IT teams to ensure alignment across systems and processes.
  • Help reinforce standard operating procedures and company best practices across branches.

Required Qualifications:

  • Bachelor’s degree in business, operations, accounting, information systems, or related field preferred.
  • 3–5 years of experience in systems support, ERP administration, integrations, accounting support, or operational coordination.
  • Understanding of accounting processes, job costing, and operational workflows.
  • Strong organizational and problem-solving skills with attention to detail.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Comfortable traveling to branch locations as needed for integration and training support.

Preferred Qualifications :

  • Strong hands-on experience with Aspire ERP.
  • Landscaping or multi-branch service industry experience.
